5020 IP Phone Use:
TO ANSWER AN INCOMING CALL
Lift handset of ringing telephone
or
Press flashing line button

Press CANCEL to return to caller
*Release is if headset is used
CANCEL KEY
Cancels last operation, hangs up, returns phone to idle menu.

TO PLACE A CONFERENCE CALL
With a call on the line, press TRANS/CONF Dial second party (internal or external) ☎ Press CONFERENCE to bring all parties together
USING SPEAKERPHONE
If you initiate a call with the handset down, you will automatically
be on the speakerphone.
To switch to handset mode, pick up the handset. ☎ To switch back to speakerphone, press Speaker and then put the
handset back in the cradle. (If you press Microphone while on speakerphone, the light will go out and the microphone will be muted.)
MESSAGE KEY
Press the Message key to access new voicemail messages.
(Only functions when message light is lit.)
REDIAL KEY
Redials your last outside number.
PICK UP KEY
Press the Pick Up key and dial an extension where a call is
holding to “pull” a holding call to your location.

Superkey Options
The Superkey accesses ten features through an onscreen menu of yes and no questions. To access a specific feature, press the Superkey, then press NO until your chosen option is onscreen and then press YES.
PHONEBOOK
Using the phone book you can look up internal numbers. Select
Phonebook and enter a few letter of the person’s name, then
press Look-up.
Press Next until the person you want to reach is on screen. Press Call to call the person on screen. Press Retry to start your search over.
CALL FORWARDING
When you change your call forwarding, the calls selected will forward to your chosen destination instead of voicemail.
Press Yes for Call Forwarding (second option under Superkey) Select the type of calls you would like forwarded
Busy;
NA;
Busy calls– Only busy internal calls go to forward destination
No Answer - Only no answer internal calls go to forward destination
Always; All calls go to forward destination and will not ring your phone
Enter the destination, 9, and the number for outside phone (or
enter an extension number). (The I am here option allows you to forward your phone to where you are without returning to your desk.)
Select I am here, enter your extension number, and your calls will
ring at that desk.

TIMED REMINDER
Allows you to program your phone to ring and remind you of an event. When asked for a time, enter the time in military time.
RINGER ADJUST
Use the triangle arrow keys (above the keypad) to adjust the pitch and volume of your phone’s ring.
LANGUAGE
You phone display can read in English, French, or Italian.

Voicemail
Setting Up Your Voicemail Box:
Press the Voicemail key and follow the system prompts. Your default password is 9999. After entering your password the system will explain the setting up your mailbox process, which consists of; changing your password, recording your name, and recording a greeting.
When you record your name, know that it becomes part of the directory, so be sure and record only your name.
Your voicemail box is now set up.
Navigating the Voicemail System:
If you have a new message, your message light will flash. When playing back messages, messages are played back in the order they are received. (The only exception being Urgent messages are heard first.)
To listen to new messages: Press the Message key (only if message
light is flashing) and enter your password.
To access Voicemail without new messages: Press the Voicemail
key, enter your mailbox number, and enter your password.
Menus: Your Main Menu consists of the following options: Press P to play your messages Press M to make a message Press X to exit the system Press 0 to transfer to the operator Press * to leave the system Press # to transfer to the voicemail attendant And Press U for user options

If you press P to play your messages;
You will have the following options after the message has played:
Press P to repeat the message just played
Press A to answer the message you just heard, send a response
Press G to give the message to another mailbox, you will be given
the opportunity to send an introduction with the message or send
as is
Press K to keep the message and play the next message
Press D to discard the message and play the next message
You will have these options during message playback:
Press 1 to pause the message, press any key to resume play
Press 6 to play the message envelope, the message envelope
who the message is from and when it was sent
Press 8 to skip to the next message
Press # to skip ahead five seconds
Press * to skip back five seconds
If you press M from the Main Menu to make or send a message, you will be prompted for a destination mailbox or group list number. At this time you can:
Enter a mailbox number
Press 9 for the directory
Press * to delete an incorrect mailbox number
Press # to end destination listing and record a message
At this point, the voicemail will prompt you to record your message
after the tone, say your message, when you are done you can;
Press 9 to send your message immediately
Press R to review the message you just recorded
Press D to discard and rerecord your message
Press A to append, or add to the end of your message
Press M for message addressing options. If you select message
options you can:

Press U to mark message as Urgent, which makes your message be heard first Press C to mark your message as Confidential. This will prevent the receiver from forwarding your message to any other mailbox Press R for a Receipt. The voicemail will send you a message telling you when your message has been heard. Press 9 to exit this menu.
If you press U from the main menu you will access your user options. In your user options menu you:
Press G to record or change your permanent greeting
Press N to change your recorded name
Press P to change your password
Press L to set up a distribution list. This enables you to send
messages to more than one mailbox at a time
Press T to set up a temporary greeting. The system will ask you
how long you would like your temporary greeting to last. Your
greeting will revert back to your permanent greeting at midnight on
the date specified.
Press 3 to record a memo for yourself
Press X to exit this menu
That completes your voicemail options. You should know that the voicemail is very user friendly so if you take the time to listen to the menus, you can figure out what you need to do next.
The attached flowchart shows all menu options in a more concise manner.
