Using FAX Mode
Using FAX Mode
To select FAX mode, press until
FAX appears in the display.
In FAX mode, the machine automatically answers all calls on 2 rings and receives incoming faxes.
RECEPTION
If you pick up the handset before the
machine answers, you can talk to the other party and receive a fax as explained in
To change the number of rings on which the machine answers calls, change the “NUMBER OF RINGS” setting (p. 51).
The machine automatically reduces received faxes as needed to fit the paper. If you prefer to have all faxes printed at full size, change the “RECEIVE RATIO” setting (pp. 51 and 55).
Using TEL Mode
below.
Answering with the machine’s handset
Important: If a document is loaded in
the machine’s feeder, remove it before performing the steps below.
1
When the machine rings, pick up the handset.
2
If you hear a fax tone, wait until the display shows [RECEIVING] and then replace the handset.

The above step is necessary if you
have set the “FAX SIGNAL RX” setting to NO (pp. 51 and 53).
Using the machine with an existing answering system
If you have an answering system (in a phone or other device) connected to the same line as the machine and you want to receive both faxes and voice messages while you are out, follow these steps.
1
Make sure that the machine’s “FAX SIGNAL RX” setting is set to YES (pp. 51 and 53). (This enables the machine to automatically begin fax reception if it detects a fax tone after the answering system answers a call.)
2
Make sure your answering system’s greeting is no longer than 20 seconds, and insert several seconds of silence at the beginning of the greeting. (This will allow the machine to clearly detect fax tones when a fax is being sent.)
TEL/FAX (T/F) Mode
To select TEL/FAX mode, press
until T/F appears in the display.
When the reception mode is set to TEL/ FAX, the machine automatically answers all calls on 4 rings (the number of rings is fixed). After answering, the machine monitors the line for about five seconds to see if a fax tone is being sent.
RECEPTION
If the machine detects a fax tone (this
means that the call is an automatically dialed fax), it will automatically receive the fax.
If your machine doesn't detect a fax
tone (this means that the call is a voice call or manually dialed fax), it will make a special ringing sound for 15 seconds to alert you to pick up the machine’s handset (to change the number of seconds, see p. 51 and “PSEUDO RING DURATION” on p.
52). If you don't answer within this time, the machine will send a fax tone to the other machine to allow the calling party to send a fax manually.
Note: Only the machine will make the special ringing sound. An extension phone will not ring after the machine initially answers the call.
3
When you go out, make sure the machine is set to TEL mode (press
RECEPTION
until TEL appears in the
). (The machine should not
display
automatically answer calls; only the answering system should answer.)
24
Page 27
Reception to Memory
Incoming faxes will be received to memory when printing is not possible, such as when the machine runs out of paper, the print cartridge needs replacement, or the paper jams.
When you have received a fax in memory, [FAX RX IN MEMORY] will appear in the display, alternating with a message that indicates the problem.
When you resolve the problem, the stored faxes will automatically print out (in some cases it may be necessary to
START/

press to begin printing).
If you received faxes to memory
because the machine ran out of paper, be sure to add paper that is the same size as the paper previously used, or the fax print-out size will not match the size of the printing paper.

Introduction
The security functions help you control the use of the machine and ensure that sensitive documents are kept confidential.
The security functions are described below. Any combination of these functions can be used.
Send Hold: To ensure that a fax is
not accidentally sent to the wrong fax number when automatic dialling is used, this function displays the fax number and prompts you to confirm that it is correct. After you check the

Key Lock: This function restricts use
of the machine to authorized users. When this function is activated, a valid user ID code must be entered each time a user wishes to use the machine.
Print Hold: This function ensures
that received faxes are only picked up by authorized recipients. When this function is activated, all received faxes are held in memory without being printed out. To print out the received faxes, a preset Print Hold code must be entered.
Administrator Code
The administrator code is used to access security settings that are only for the administrator (person in charge) of the machine.
The administrator code is required
only for the Call Restriction function, the list print functions for printing out security codes stored in the machine, and the special “Report Before Transmission” function that is explained at the end of this chapter. If you will not be using these functions, it is not necessary to set the administrator code.
Call Restriction: To ensure that a fax
is not accidentally sent to the wrong fax number, this function will only send a fax if the number that the user enters is one of the numbers that the administrator has previously approved for use in the machine settings.
Function Lock: When this function is

Report Before Transmission (Advanced Security Function)
Report Before Transmission is an advanced security function that can be used if you require a high level of security.
To ensure that a fax is not accidentally sent to the wrong fax number, this function can be used to:
1. Require that the user enter his or her user ID after entering the fax number. (This step is omitted when Key Lock is activated.)
2. Have the machine print out a transmission report with a bar code after it scans the document. The transmission report shows the destination fax number and other information on the transmission. The user can check the report to make sure that the information is correct.
3. Require that another user (a “checker”) double-check the transmission report.
After the report is checked, it must be inserted into the document feeder. If another user checked the report, the user must enter his or her user ID. The machine scans the transmission report and checks the bar code. If okay, transmission begins.
Normally it is most effective to require
all three of the above steps. However, steps 1 and 3 are optional.

About the lithium battery:
The machine uses a lithium battery to retain settings and information programmed in the machine when the power is turned off. Battery power is consumed primarily when the power is off. With the power kept continuously off, the life of the battery is about 5 years. If the battery dies, have your dealer or retailer replace it. Do not try to replace it yourself.
