You can perform many functions using either the front panel or the HP PSC 900 Series software.
Even if you do not connect your HP PSC to a computer (also called stand-alone use), you can use the front panel to copy, print photos or fax documents. You can change a wide variety of settings using the front-panel buttons and menu system.
This brief tutorial teaches you how to use your HP PSC to: make a copy, adjust copy settings, and change setup options. This is not a comprehensive tutorial; its purpose is to familiarize you with the front pane l and th e d iff e ren t b utt o ns. It s houl d tak e a bou t t en min utes to work through the tutorial, after which you can experiment on your own.
We highly recommend that you take this tutorial before you start using your HP PSC for daily tasks.

before you begin 1 Follow the instructions in the Setup Poster to set up your HP PSC.

The HP PSC 900 Series software should be installed on your computer prior to connecting the computer to the HP PSC.
2 Obtain a color photograph or picture (perhaps cut from a
magazine) that is smaller than Letter or A4 size. You will use this image for tutorial activities.

front panel features

The front panel is divided into three main regions: From: Use the buttons in this region to indicate where your picture or
document is coming from. To: Use the buttons in this region to indicate what you want to do with
your image. The buttons in this region also enable you to make changes to the image or document settings.
Start: Use the buttons in this region to start your task based on the choices that you made in the From and To regions.
From: Scanner or Photo Card: Selects
the scanner or the photo card as the image source. The feature is active when a button is lit.
To: PC Save, Copy,
or Fax : Selects one of three destinations for scanner or photo card image sources. The feature is active when a button is lit. Fax can only receive image sources from the scanner.
Start: Black or Color: Start a scan,
fax, copy, or photo print in color or black and white. Pressing Black or Color also starts saving a photo or scan to the computer.

make a copy 1 Open the lid of your HP PSC and place your photo or picture face

down in the front right corner of the scanner glass with the sides of the original touching the right and front edges.

Notice that the Scanner button is lit in the From region of the front panel. This indicates that the source is coming from the scanner glass. Scanner is the default, so this button is lit unless you insert a photo card into the slot.
2 Press Copy on the front panel.
This indicates that you want to make a copy of the picture on the glass. Copy is also the default, so the Copy button is typically lit.
If you had wanted to save the picture to the computer, you would have pressed PC Save. If you had wanted to fax the picture, you would have pressed the Fax button instead of the Copy button. For this tutorial, you will continue making a copy.
3 Press Color on the front panel.
The default is a single copy. Pressing the Color button on the HP PSC automatically prints one color copy of the picture on the glass. If you had pressed the Black button, the HP PSC would have made a single grayscale copy of your color picture.

1 Place your photo or picture face down on the scanner glass in the front
right corner with the sides of the originals touching the right and front edges. Now you will change some copy settings before starting the copy.
2 With the Scanner and Copy buttons lit, press Options on the front
panel. The first setting in the Copy menu, Number of Copies, appears on the front panel display.

3 Press Options repeatedly to see all of the settings in the Copy menu.
The copy settings Which Size, Copy Quality, Paper Type, Paper Size, Lighter/Darker, Enhancements, Color Intensity, and Set New Defaults display in turn. After Set New Defaults, you return to the first setting, Number of Copies.
4 If the front panel display does not show the Number of Copies
setting, navigate to this setting by pressing Options until Number of Copies appears.
Now, you are ready to set the number of copies. Use the increase or decrease the number of copies. Alternatively, you could enter the number using the numeric keypad.

5 Press once so that the number of copies increases to 2 on the front
panel display.
6 Press Black on the front panel.
The HP PSC makes two black and white copies of your picture. Notice that you did not have to do anything else but select the number
of copies and press a start key. Now you will change multiple settings before making copies.
7 With the Scanner and Copy buttons lit, press the Options button. 8 With the Number of Copies setting displayed, press 3 on the
numeric keypad. The number of copies changes to 3. Before starting the copies, you are going to change another setting.
9 Press Options once to display the Which Size? setting.
Pressing Options keeps the change you just made in Number of Copies and moves to the next Copy menu setting.
Notice that the first option in the Which Size? setting is Actual 100% . Whenever you navigate to a setting, the first option that
displays for that setting is the default. Now you will change the size of the three copies.
10 Press until you reach the Custom 100% option then press Enter.
Use this option to reduce or enlarge your picture.
11 Press 5 and then the 0 button on the numeric keypad so that 50%
displays, then press Enter.
12 Press Color on the front panel.
The HP PSC prints three color copies of your picture, scaled by 50%. You now know how to navigate through the Options settings and change settings.
If you do not do anything else with your HP PSC, the settings that you adjusted will return to their defaults within two minutes. The number of copies, will for this exercise, return to one and the copy percentage returns to Actual 100%. You can make adjusted settings permanent using Set New Defaults.

Next, you will review the Setup menu.

You normally change Setup menu settings when you set up the HP PSC. Any changes you make in the Setup menu automatically become the default.
1 Press Setup.
The first submenu Print Report displays.
2 Press Setup repeatedly to view the other submenus.
The other submenus are: Speed Dial Setup, Basic Fax Setup, Advanced Fax Setup, and Maintenance.
3 Press Setup. 4 Press 3, then press 6.
This selects the Basic Fax Setup menu, then selects the Ring and Beep Volume menu.
The Ring and Beep Volume settings appear.
5 Press to select Soft, Loud or Off. Press the Enter button to save
this selection. This volume setting is now permanent unless you go back and change
it. This completes the brief tutorial. Review the balance of the Reference Guide to find out how to make
other changes and use other features.

4 PC Save: Selects the computer save destination for scanner or photo
card image sources. The feature is active when the button is lit.
5 Copy: Selects the copy destination for scanner or photo card image
sources. The feature is active when the button is lit.
6 Fax: Selects the fax destination from scanner image sources. Fax
can only receive image sources from the scanner. The feature is active when the button is lit.
7 Setup: Provides access to reports, fax settings, and maintenance
functions.
8 Arrows: Scroll through menu settings, through options within
settings or to move forward. The left arrow erases characters in a text entry by deleting one character each time the left arrow key is pressed.
9 Proof Sheet: Selects the proof sheet option. A proof sheet, which
may be several pages long, shows thumbnail views of all the photos stored on the photo card. The file name, date, and index number appear under each thumbnail. For more information about proof sheets, see print a proof sheet on page 37.
10 Options: Access to various copy, photo, scanning, and faxing
options.
11 Cancel: Stops a job, exits menu, or exits button settings.

13 Keypad: Use the keypad to dial fax numbers, enter values, or enter
text.
14 Black: Starts a black and white scan, fax, copy or photo print.
15 Color: Starts a color scan, fax, copy or photo print. Pressing Black
or Color also starts saving a photo or a scan to your computer.
Depending on your model, your front panel may look slightly different.

If you connect your HP PSC to a computer, you can work from the front panel or from the HP PSC 900 Series software or from the Director, if you installed the software.

The Director is available through the desktop shortcut. For Windows Users:
•Double-click the HP PSC 900 Series shortcut on the Windows
desktop, or
In the Windows taskbar, click Start, point to Programs, choose HP PSC 900 Series, then choose HP Director.
For Macintosh Users:
•Double-click the HP Director shortcut on the desktop.
The HP Director provides centralized access to all the capabilities of the HP all-in-one software.
The following figure shows some of the features available through the Director for Windows.

1 Help: Provides access to onscreen assistance in the form of an
onscreen User’s Guide, troubleshooting, product tour, Director Help, and information about your HP PSC.
2 Fax: Displays the send fax dialog window where you can enter the
fax recipient information, specify the fax quality, color, hard copy attachments, and start a fax job.
3 Settings: Displays dialog windows that allow you to view or
change various settings for print, scanning, copy, photo card, Director, maintenance, and Fax.
4 Scan Image: Scans an image and displays it in the HP Image
Viewer, if turned on, and then in the HP Photo View Center.
5 Copy: Displays the Copy dialog window where you can select the
paper type, number of copies, the color, the size, any of the Creative Copy features, and start a copy.

You can print and copy onto a variety of transparency films and paper types, weights, and sizes. It is important, however, that you choose the right paper and make sure that it is not damaged.

load paper

Following is the basic procedure for loading paper. There are specific considerations for loading certain types of paper and film. After you review this procedure, see tips for loading specific types of paper on page 17.
For best results, adjust the paper settings each time you change paper types or paper sizes. For more information, see change paper settings for copying on page 21.
To load envelopes, see load envelopes on page 19. See load 4 x 6 photo paper on page 20 for more information.
1 Lift the output tray up and slide the paper-width and -length
guides to their outermost positions.

2 Tap the stack on a flat surface to even the edges of the paper,
and then check the paper for the following: – Make sure it is free of rips, dust, wrinkles, and curled or bent
edges.
– Make sure all the paper in the stack is the same size and type,
unless you are working with photo paper.
3 Insert paper into the input tray print-side down until it stops. If you
are using letterhead, insert the top of the page first. Be careful not to use too much or too little paper. It may be
difficult for the printer to grab a sheet of paper when there are only one or two sheets in the paper tray. Check that the stack of paper contains several sheets, but is no higher than the top of the front paper guide.
4 Slide the paper-width and -length guides in until they stop at the
edges of the paper. Make sure that the paper stack lies flat in the input tray and fits under the tab of the paper-length guide.

Do not overfill the input tray, as this may cause paper jams.
5 To prevent printed paper from falling off the tray, fully extend the
output-tray extender.

tips for loading specific types of paper

The following table provides guidelines for loading certain types of paper and transparency film. For best results, adjust the paper settings each time you change paper types and paper sizes. For more information, see change paper settings for copying on page 21.
Paper Tips
HP papers
• HP Premium Inkjet paper: Locate the gray arrow on the nonprinting side of the paper, and then insert paper with the arrow side facing up.
• HP Premium or Premium Plus Photo Paper: Load the glossy (print) side down. Always load at least five sheets of regular paper in the input tray first, and then place the photo paper on top of the regular paper.
• HP Premium Inkjet Transparency Film: Insert the film so that the white transparency strip (with arrows and the HP logo) is on top and is going into the tray first.
• HP Iron-On T-shirt Transfers: Flatten the transfer sheet completely before using it; do not load curled sheets. (To prevent curling, keep transfer sheets sealed in the original package until you are ready to use them.) Manually feed one sheet at a time, with the unprinted side facing down (the blue stripe faces up).
• HP Greeting Cards, Glossy Greeting Cards, or Textured Greeting Cards: Insert a small stack of HP greeting-card paper, with the print-side down into the input tray until it stops.
• HP Restickable Inkjet Stickers: Place the sheets in the input tray, print-side (sticker-side) down.

Insert a stack of postcards with the print-side down into the input tray until it stops. Line the postcards up on the right side of the input tray, slide the width guide up against the left side of the cards, and then slide the length guide in until it stops.
• Always use letter- or A4-size label sheets designed for use with HP inkjet products (like Avery Inkjet Labels), and make sure that the labels are not over two years old.
• Fan the stack of labels to make sure none of the pages are sticking together.
• Place a stack of label sheets on top of standard paper in the input tray, print-side down. Do not insert labels one sheet at a time.

Lift the output tray to expose the photo tray. Make sure the instruction insert has been removed. Insert a stack of 4” x 6” photo papers print-side down into the photo tray. Lower the output tray, then slide the photo tray release button into the correct position. See load 4 x 6 photo paper on page 20.
When the button is pushed into position, the photo tray is engaged. Paper is pulled only from the photo tray.
Continuous banner paper is also known as computer or z-fold paper.
• Before loading banner paper, remove all other paper from the input tray, then raise the output tray above the catch on the right side.

• If you use non-HP banner paper, use 20-lb. paper and fan the paper before loading it.
• Verify that the stack of banner paper contains at least five pages in the stack.
• Carefully tear off the perforated edge strips from both sides of the paper stack, if any, and unfold and refold the paper to make sure the pages do not stick together.
• Put the paper in the input tray so that the unattached edge is at the top of the stack. Insert the first edge into the input tray until it stops, as shown in the figure above.

load envelopes

Your HP PSC provides two methods for working with envelopes. Do not use shiny or embossed envelopes, or envelopes that have clasps or windows.
If you are printing one envelope, slide the envelope into the envelope slot, which is located on the right side toward the back of the output tray. Insert the envelope with the flap up and on the left, as shown in the illustration. Slide the envelope on the top until it stops.
If you are printing multiple envelopes, remove all paper from the input tray, and then slide a stack of envelopes into the tray, with the envelope flaps up and to the left (print-side down), until they stop.

Adjust the left paper guide against the envelopes (be careful not to bend the envelopes). Make sure the envelopes fit within the tray (do not overload it).
Consult the help files in your word processing software for details on how to format text for printing on envelopes.

– If you are using 4” x 6” photo paper with a removable tab, push
the photo tray release buttin in until the button reaches the first position.
– If you are using 4” x 6” photo paper without a removable tab,
push the photo tray release button in further to the second position.

This ensures that the photo paper is loaded correctly and the photo tray is engaged.

We recommend that you change these settings when you load different paper to ensure the best print quality.
You can change copy settings from the front panel or from the Director. When you change settings using the front panel, the copy settings are reset two minutes after the unit completes the copy.
HP recommends paper type settings according to the type of paper you're using. For more information, see recommended paper-type settings for copying in the onscreen User’s Guide.
To set the paper type and size for current and future copy jobs:
1 Press Scanner, then press Copy, if not already lit. 2 Press Options repeatedly until Paper Type appears. 3 Press until the desired paper type appears, then press Enter. 4 Press Black or Color.

You can copy or scan any original by placing it on the glass.
1 Lift the lid and make sure that the glass is clean.
2 Place the original face down on the glass in the front right corner with
the sides of the originals touching the right and front edges. It is important to use the front right corner when using the copy or
scanning feature.
If you are copying from a transparency (that is, your original is printed on transparency film), place a blank piece of paper on top of the transparency.
Many of the Which Size? copy features under Options will not work correctly if the glass is not clean. For more information, see clean the glass on page 59.

Scanning is the process of converting text and pictures into an electronic format for your computer. You can scan just about anything:
Photos
Magazine articles
Text documents
3D objects (be careful not to scratch the glass) — to put into
catalogs and flyers.
Because the scanned image or text is in an electronic format, you can bring it into your word processor or graphics program and modify it to suite your needs. You can:
Scan text from an article into your word processor and quote it in
a report, saving you a lot of retyping.
Scan in a logo and use it in your publishing software, allowing
you to print business cards and brochures for yourself.
Scan in photos of your kids and e-mail them to relatives, create a
photographic inventory of your house or office, or create an electronic scrapbook.
To use the scan features, your HP PSC and computer must be connected and turned on. The HP PSC 900 Series software should also be installed on your computer prior to connecting the computer to the HP PSC.

You can start a scan from your computer or from your HP PSC.
1 Load your original.
For more information, see load originals on the glass on page 22.
2 Press Scanner, then press PC Save, if not already lit.
This saves the scan to your computer.
3 Press Black or Color.
For Windows, a scan of the original appears in the
HP Image Viewer. For Macintosh, a scan of the original appears in the
HP Workplace. In the HP Image Viewer, you can edit the scanned image. When
you are done viewing the image, click Accept. See the onscreen User’s Guide for more information about editing in the pre-scan view.
The HP PSC does a final scan of the original and sends the image to the HP Photo View Center in Windows.
In the HP Photo View Center, you can: – edit images, including adding text
–creative printing – create and print photo albums – send to fax, e-mail, web page, or other programs.

The scanner creates a grayscale scan if you press Black.
Your HP PSC scans the document, launches the selected program, and displays the scanned image in that program.

Using your HP PSC, you can:
Produce high-quality color and black-and-white copies using a
variety of paper types, including iron-on transfers.
Reduce or enlarge the size of the images copied from 25% to
400% of the copy’s original size. (Percentages may vary between models.)
Make the copy lighter or darker, adjust the color intensity, select
the number of copies, and specify the quality of the copies you make.
Enlarge a photo, create a poster, make wallet-size photos, make
high-quality copies of photos using special photo paper, or create transparencies.

You can make copies using the front panel of your unit or using your computer. Many copy features are available using either method. However, you may find that the software offers easier access to special copy features.
All copy settings that you select on the front panel are reset two minutes after the unit completes the copy, unless you save the settings as the default settings. For more information, see Change settings for all future copy jobs in the onscreen User’s Guide.

reduce or enlarge a copy

The HP PSC provides three options that affect copy speed and quality.
Best produces the highest quality for all paper and eliminates the
banding (striping) effect that sometimes occurs in solid areas. Best copies more slowly than the other quality settings. Best is automatically selected when you specify the paper type as photo paper.
Normal delivers high-quality output and is the recommended setting for most of your copying. Normal is faster than Best.
Fast copies faster than the Normal setting. The text is of comparable quality to the Normal setting, but the graphics may be of lower quality. Using Fast also cuts down on the frequency of replacing your print cartridges, because it uses less ink.
1 Load the input tray with the appropriate paper. 2 Load your original on the glass. If you are copying from a Photo
Card, insert the photo card into the appropriate slot.
3 Press Scanner, then press Copy, if not already lit. 4 Press Options until Copy Quality appears. 5 Press until the desired copy quality appears, then press Enter. 6 Press Black or Color.
You can reduce or enlarge a copy of an original using predefined settings, such as Fit to Page, Poster, or wallet, by selecting your own reduction/enlargement percentages. These settings are available when Scanner and Copy buttons are lit.
If the margins of your full-size original are smaller than the minimum margin settings supported by your unit, they will be cut off during the copy process. To get a full copy, use the Fit to Page feature. For more information on this feature, see fit a copy to the page on page 31. For more information on your unit’s margins, see Margins in the Support and Specifications booklet.

Use Lighter/Darker to adjust the lightness and darkness of the copies you make.
1 Press Scanner, then press Copy, if not already lit. 2 Press Options repeatedly until Lighter/Darker appears. 3 Press to lighten the copy or to darken it.
The circle moves to the left or right, depending on the button you press.
4 Press Enter to select the setting.
You can adjust color intensity to make colors on your copy more vivid or more subtle.
1 Press Scanner, then press Copy, if not already lit. 2 Press Options repeatedly until Color Intensity appears. 3 Press to make the image paler or to make the image more vivid.
The range of color intensity values appears as a circle on a scale on the front-panel display.
4 Press Enter to select the setting.
Use Text enhancements to sharpen edges of black text. Use Photo for photographs or pictures to enhance light colors that may otherwise appear white.
Text enhancement is the default option. You can turn off Text enhancement by selecting Photo or None if:
Stray dots of color surround some text on your copies.
Large, black typefaces look splotchy (not smooth).
Thin, colored objects or lines contain black sections.
Horizontal grainy or white bands appear in light- to medium-gray areas.

In addition to making standard copies, your unit supports special functions such as preparing a T-shirt transfer, making copies fit a page automatically, printing several copies on a single page, or making a poster. This section describes the settings to select before pressing the Black or Color buttons.

Use the Iron-On feature to reverse text and images so that they appear backwards. After the transfer is ironed onto a T-shirt, the picture appears properly on the shirt.

There are several common photo sizes available under the Options menu. After you select one of the available sizes, you are prompted to select the number of copies that can be placed on a page.

When you use the Poster feature you divide your original into sections, then enlarge the sections so you can assemble them into a poster.

Tip! After you select the poster width, the HP PSC adjusts the length automatically to maintain the original proportions. If the original cannot be enlarged to the selected poster size, an error message will appear. Select a smaller poster size and try the job again.

what is a photo card?

If your digital camera uses a photo card to store photos, you can insert the photo card into your HP PSC to print or save your photos. Your HP PSC features three different slots for photo card input.
Your HP PSC can read SmartMedia, CompactFlash, and Memory Stick photo cards.

what is a photo card?
You can only use one photo card in your HP PSC at a time.
After you take photos with your digital camera, you can print them immediately or save them directly to your computer.
1 Insert the photo card into the appropriate slot on your printer.
When the photo card is inserted correctly the Photo Card button illuminates on the front panel.

2 Reading camera photo card... appears on the front panel
display. The light next to the card slot blinks green when the card is being accessed.
When the HP PSC is finished reading the card, another message appears showing the number of files found on the photo card.
You may safety remove the card only when the light is off.

If you insert a photo card backwards, the light next to the card slot blinks amber and the front panel displays an error message such as Photo card is in backwards or Gold side should face right.

save files to the computer

You can save directly from a photo card to your computer. When you save photos to your computer, you can view them in the HP Photo View Center, edit them, create photo collages, and album pages — the possibilities are endless.
When you are connected to a computer, you should save all the photos to your computer. This allows you to reuse your photo card.
1 Make sure that the photo card is inserted in the appropriate slot
on your HP PSC.
2 Press 1 when Save Photos to PC? appears on the front panel
display. This saves all the photos from the photo card to your computer

depending on when the photos were taken. The folders are created under the C:\MyDocuments\MyPictures\ folder.
For Macintosh: files are saved to the computer in the default location HardDrive\Documents\HP All-in-One Data\Photos\directory.

HP Photo View Center

The HP Photo Center is a program that you can use for viewing and editing image files. You can print images, send image by e-mail or fax to family and friends, upload images to a website, or use images in fun and creative printing projects with the HP Photo Center.
When you save photo card files to your computer, the HP Photo Center opens automatically and displays thumbnails (small versions) of your images. If you want to open the HP Photo Center at a later time, open the Director and click the Photo View Center icon, which is located in the middle of the Director window.

print a proof sheet

A proof sheet, which may be several pages long, shows thumbnail views of photos stored on the photo card. The file name, index number, and date appear under each thumbnail.
A proof sheet is a simple and convenient way to order and make prints directly from a phot o ca r d. After printing a proo f s he et, fill in the circles and place the proof sheet on the glass. The proof sheet is scanned and photo prints are generated.
step 1: select the photos you want by filling in the circles located underneath each photo with a dark pen.
step 2: select the number of prints, image size, and paper type.
step 3: place the top of the proof sheet on the glass face down at the right front corner of the scanner glass.

You can use the proof sheet index number to select which photos to print. This number may be different from the number associated with the photo on your digital camera. If you add photos to, or delete photos from, your photo card, you will need to reprint the index page to see the new index numbers.
1 Insert the photo card into the appropriate slot on your printer. 2 Press the Proof Sheet button.
The front panel displays the message:

The proof sheet prints. If there are more than 20 photos on the card, you can select the range of photos to be printed on the proof sheet.

After you print a proof sheet, you can use it to print specific photos from your photo card.
1 Load special paper type, such as photo paper. 2 Make sure that the photo card is inserted in the appropriate slot
on your printer.
3 Select which photos you would like to print by filling in the circles
located underneath the thumbnail images on the proof sheet.
4 Select the number of prints, image size and paper type by filling
in the circles in step 2 of the proof sheet.
5 Place the top of the proof sheet face down on the scanner glass in
the front right corner with the sides of the originals touching the right and front edges.

In addition to using the proof sheet, you can also use the front panel to print directly from a photo card without being connected to a computer. You can choose photos on a photo card from the front panel of the printer.
1 Insert the photo card into the appropriate slot on your printer. 2 Press 2 when Save Photos to PC? appears. 3 Press until Print What? Photos on Card appears. 4 Press Options and select Print Photos All, then press Enter. 5 Press to select a photo size, then press Enter. 6 Press to select a paper type, then press Enter. 7 Press to select the number of copies, then press Enter. 8 Press Black or Color.
Printing is done in grayscale if Black is pressed.

After you decide which photos to print, choose the corresponding proof index number on the printer’s front panel. You can choose:

request that can be created by some digital cameras. See your digital camera documentation to see if it supports Digital Print Order Format (DPOF).
The DPOF file is stored by the digital camera on a photo card and specifies the following information:

Send and receive paper faxes, and send computer faxes.
Send and receive color faxes.
Your HP PSC lets you send a fax in a variety of configurations. These include:
Sending a paper fax (using the front panel or computer).
Sending a paper fax with a computer generated cover page (using the computer).
Sending a computer file with or without a cover page (using the computer).
Sending a computer generated cover page as a single-page fax (using the computer).
See the onscreen User’s Guide for more information about sending faxes and creating cover pages using your computer.
Follow these steps to send a fax from your HP PSC.

By default, your HP PSC prints a report only if there is a problem with sending or receiving a fax. A confirmation message indicating whether an item was successfully sent appears briefly on the front­panel display after each transaction. If you need printed confirmation that your faxes are successfully sent, follow these instructions before sending any faxes.
If you want to print a report on your last fax transaction, see print reports in the onscreen User’s Guide.
1 Press Setup. 2 Press 1, then press 6.
This selects the Print Report menu, then selects the Automatic Reports Setup option.

Broadcasting lets you send a black and white fax to one group If you send a fax from your HP PSC. A group can contain up to 20 individual speed­dial entries. To use broadcasting, the fax must fit into your HP PSC’s memory; otherwise, an error occurs.
Broadcasting can be sent to an unlimited number of groups and individuals when you send a fax from your computer.
1 Load your original. 2 Press Scanner and then press Fax, if not already lit. 3 Press Options until Fax Mode appears. 4 Press until Speed Dials appear, then press Enter. 5 Press until the desired pre-set group speed dial entry appears, then
press Enter.
6 Press Black to begin faxing.
You can schedule a black and white fax to be sent later during the same day, (for example, when telephone lines are not as busy). If you use the front panel, you can select a single recipient or group.
Using the computer to schedule a fax, you can schedule multiple faxes for different delivery dates and times. For more information, see the onscreen User’s Guide.
When the specified time is reached, your fax is automatically sent as soon as a connection can be made.
1 Load your original.

recipient or select the group, then press Enter. The document is scanned to memory.

another page. If scanning another page, place the next original on the glass and press 1.
8 When you are done faxing, press 2.
The fax is sent from memory at the selected time.

You can cancel a fax stored in memory or one that is currently in progress.
1 Press Options until Send Fax appears. 2 After Enter fax number appears, enter the fax number of the
recipient or select the group, and press Enter.
3 Press until Send Fax Later appears, then press Enter.
If a fax has already been scheduled into memory, a message appears on the front panel that shows the time and the phone number of the scheduled fax. Another message appears asking if you want to cancel the scheduled fax.
4 Press 1 to cancel the scheduled fax.
Depending on how you set up your HP PSC, you can receive faxes automatically or manually. For more information, see set the answer mode in the onscreen User’s Guide.
Your HP PSC is automatically set to print received faxes (unless you have turned the auto-answer feature off). If you receive a legal-size fax and your HP PSC is not currently set to use legal-size paper, the unit automatically reduces the fax so that it fits on the paper that is loaded (unless you have disabled the automatic-reduction feature). For more information, see set automatic reduction on page 50.
Before manually receiving a fax to your HP PSC, we recommend that you remove any originals from the glass, so they are not accidentally processed.
1 Press Setup. 2 Press 3, then press 3 again.

1 When your HP PSC rings, pick up the handset of a telephone that is
on the same telephone line as your HP PSC, (the handset is plugged into the back of the HP PSC).
2 If you hear fax tones, do one of the following:
–Press Black. – If you are receiving from an extension phone (on the same
telephone line as your HP PSC, but not connected directly to it), press 123 on your phone.
3 Wait for the fax tones, then hang up the telephone.

You can specify how many rings should occur before your HP PSC automatically answers the phone. When you run the Fax Setup Wizard, which is located in the HP PSC 900 Series software, this is set automatically.
If you do not want your HP PSC to answer the phone, Rings to Answer should be set to No Answer.
1 Press Setup. 2 Press 3, then press 3 again.
This selects the Basic Fax Setup menu, then selects the Rings to Answer option.
3 Press Enter. 4 Press until the desired number of rings before answering appears
on the front panel display.
5 Press Enter to accept the setting.
You can set up your HP PSC to print error reports and confirmation reports for each fax you send and receive. You can also manually print reports as you need them.
1 Press Setup. 2 Press 1, then press 6.
This selects the Print Report, then selects the Automatic Reports Setup option.

Send Error, which prints whenever there is a transmission error.Receive Error, which prints whenever there is a receiving error. – Every Fax, which confirms every time a fax is sent or received. – Send Only, which prints every time a fax is sent. – Off, which does not print fax reports.
4 After the option that you want appears, press Enter.

generate manual reports

1 Press Setup. 2 Press 1, then press Enter. 3 Press to scroll through the following report types.
1:Last Transaction, which indicates the status of the last fax
sent.
2:Fax Log, which lists approximately the last 40 faxes sent and
received.
3:Speed Dial List, which lists your individual and group
numbers.
4:Menu Settings, which lists in outline form the entire menu
system and indicates the current and default settings.
5:Self-Test Report, which prints a self-test report. For more
information, see print a self-test report in the onscreen User’s Guide.
6:Automatic Reports Setup, which is the automatic reports
setting described in generate automated reports on page 47.
4 Select the report you want, then press Enter.

control resolution and contrast

You can change the resolution and contrast of documents that you are sending. Your changes remain in effect until you change them again.
The copy settings do not affect faxing, and the fax resolution settings do not affect copying.

Your HP PSC only faxes at the highest resolution supported by the receiving fax.
If you choose Photo, be aware that the faxing process takes longer to complete. When faxing photographs, we recommend that you choose Photo.
4 Press Enter to select the desired option.

change contrast

Change this setting if you want to send a black and white fax to be darker or lighter than the original.
1 Press Scanner and then press Fax, if not already lit. 2 Press Options until Lighter/Darker appears.
The range of values appears as a circle on a scale on the display.
3 Press to lighten the copy or to darken it.
The circle moves to the left or right, depending on the button you press.
4 Press Enter to use the setting you selected.

redial a busy or unanswered number automatically

You can set your HP PSC to redial a busy or an unanswered number automatically. The default setting for Busy Redial is Redial. The default setting for No Answer Redial is No Redial.
1 Press Setup. 2 Choose one of the following options:
–Press 4, then press 3.
This selects the Advanced Fax Setup menu, then selects the Busy Redial option.
–Press 4, then press 4 again.
This selects the Advanced Fax Setup menu, then selects the No Answer Redial option.
3 Press Enter. 4 Press to select Redial or No Redial, as desired. 5 Press Enter.

forward faxes to another number

With fax forwarding, you can send a black and white fax that you receive to another fax number.
1 Press Setup. 2 Press 3, then press 7.
This selects the Basic Fax Setup menu, then selects the Fax Forwarding Black Only option.

use Error Correction Mode (ECM)

ECM eliminates data lost due to poor phone lines by detecting errors that occur during transmission and automatically requesting retransmission of the erroneous portion. Phone charges are unaffected, or may even be reduced, on good phone lines. On poor phone lines, ECM increases sending time and phone charges, but sends the data much more reliably. Turn ECM off (the default setting is on) only if it increases phone charges substantially and you are willing to accept poorer quality in exchange for reduced charges.
1 Press Setup. 2 Press 4, then press 7.
This selects the Advanced Fax Setup menu, then selects the Error Correction Mode option.
3 Press to switch between Off and On. 4 After the state that you want appears, press Enter.

set automatic reduction

This setting determines what your HP PSC does if it receives a fax too large for the default paper size. With this setting on (the default), the image is reduced so that it attempts to fit on one page. With this feature off, the information that will not fit on the first page is printed on a second page.
1 Press Setup. 2 Press 4, then press 5.
This selects the Advanced Fax Setup menu, then selects the Automatic Reduction option.
3 Press to switch between Off and On. 4 After the state that you want appears, press Enter.

detect faxes received from older machines

You can receive faxes from older fax machines that do not emit a fax signal. These silent models represent less than 5% of fax machines in use.
Leave this setting off unless all the following are true:
You are having trouble receiving a fax from an older machine.
Your answering machine is connected directly to your HP PSC.
1 Press Setup. 2 Press 4, then press 8.

adjust the volume

Your HP PSC provides three levels for adjusting the ring and speaker volume. The ring volume is the volume of the phone rings. The speaker volume is the level of everything else, such as the dial and fax tones. The default setting is soft.
1 Press Setup. 2 Press 3, then press 6.
This selects the Basic Fax Setup menu, then selects the Ring and Beep Volume option.
3 Press to select one of the options: Soft, Loud, or Off. 4 Press Enter.

change the Answer Ring Pattern (distinctive ringing)

Distinctive ring feature that allows you to have several phone numbers on the same line. Distinctive ring is usually offered by phone companies for an additional fee, and may not be available in all regions. Each number has a specific ring pattern. If you do not have this service, leave your HP PSC set to use the default, All Rings.
If you connect your HP PSC to a line with distinctive ringing, have your telephone company assign one ring pattern to voice calls and another to fax calls (double or triple rings are best for a fax number).
1 Verify that your HP PSC is set to answer automatically. 2 Press Setup. 3 Press 4, then press 2.
This selects the Advanced Fax Setup menu, then selects the Answer Ring Pattern option.
4 Press to scroll through these options: All Rings, Single Rings,
Double Rings, Triple Rings, and Double & Triple.
5 After the ring pattern that the phone company established for this
number appears, press Enter.

6 If you have an answering machine on this phone line (on any phone
number), set the answering machine to answer after four or more rings.
You want your HP PSC to answer before the answering machine; otherwise, your HP PSC will not receive fax calls. Your unit is automatically set to answer after one ring.
If you want to change the number of rings after which your HP PSC answers, follow the instructions in set number of rings before answering on page 47.
7 If you have a modem on this phone line, turn off the setting in the
modem’s software that automatically receives faxes to your computer; otherwise, your HP PSC will not receive faxes properly.

set up speed dialing

Through your HP PSC or your computer, you can assign entries to fax numbers you use often. This lets you dial those numbers quickly using the front panel’s Speed Dial button and a one- or two-digit entry. You can create up to 60 individual and group speed-dial entries.
You can use speed-dial entries only from the front panel. You can also save numbers in your software’s address book. See set up
speed dialing in the onscreen User’s Guide for more information.

create group speed-dial settings

You can create a distribution list of up to 20 group speed-dial entries so that you can send a fax to all of them at the same time. You can create up to 60 groups and speed-dials.
To use a fax number in a speed-dial group the number must already have an assigned speed-dial entry. You can include only individual speed-dial entries. You cannot assign a group to another group.
1 Press Setup. 2 Press 2, then press 2 again.
This selects the Speed Dial Setup menu, then selects the Group Speed Dial option.
3 Choose one of the following:
– If this is your first group, the first unassigned number appears.
Press Enter to select it.
– If this is not your first group, 1=New 2=Edit appears. Press 1 to
create a new group. The first unassigned number appears. Press Enter to select it.
4 After Add #1 appears, press Enter. 5 Enter the number that corresponds to the fax number you want to
include in the group. The selected number and corresponding name appear on the display.
6 Choose one of the following:
– If the displayed number is correct, press Enter to add it to the
group.
– To select a different number, press or until the appropriate
number appears, then press Enter to select it.
7 After Add Another appears, press 1 for Yes if you want to add
another individual number to the group, or press 2 for No.
8 After you are done selecting individual numbers, enter a name for the
group. For more information, see enter text on page 55.
9 Press Enter to save the group. 10 After Add Another appears, press 1 for Ye s if you want to create
another group, or press 2 for No to exit.

set the date and time

You can set the date and time from the front panel. When a fax is transmitted, the current date and time is printed along with the fax header. The date and time format is based upon the language and country setting.
Normally the computer software sets the date and time automatically.
1 Press Setup. 2 Press 3, then press 1.
This selects the Basic Fax Setup menu, then selects the Date and Time option.
3 Enter the month, day, and year (last two digits only) by pressing the
appropriate number on the keypad. The underline cursor presented initially beneath the first digit advances automatically to each digit after, each time you press a button. The time prompt automatically appears after you enter the last digit of the
date.
4 Enter the hours and minutes.
The AM/PM prompt automatically appears after the last digit of the time is entered.
5 Press 1 for AM or 2 for PM.
The new time and date settings appear on the front panel.

Your HP PSC can “request” another fax unit to send the fax it has waiting. The other unit must be set for polling and have a fax ready to send.
1 Press Scanner and then press Fax, if not already lit. 2 Press Options until Send fax appears. 3 Press until Poll to Receive appears, then press Enter. 4 After Enter fax number appears, enter the fax number, then press
Black.

reprint the faxes in memory

Your HP PSC can store a limited number of fax pages in its memory, with the number of pages depending on the model you purchased. When your HP PSC runs out of memory to store faxes, it will not receive any more until the stored faxes are printed.
Reprint Faxes in Memory enables you to reprint a fax stored in memory. For example, if your print cartridge runs out of ink while receiving a fax. This option prints all faxes in memory; press Cancel to stop printing faxes you do not need.
1 Press Setup. 2 Press 5, then press 4.
This selects the Maintenance menu, then selects the Reprint Faxes in Memory option.
The faxes are printed from memory.

clean the glass

Dirty glass (fingerprints, smudges, a hair, and so on) slows down performance and affects the accuracy of special features such as Fit to Page and Copy.
1 Turn off the unit, unplug the power cord, and raise the lid. 2 Clean the glass with a soft cloth or sponge slightly moistened with
a nonabrasive glass cleaner. Caution! Do not use abrasives, acetone, benzene, or
carbon tetrachloride on the glass; these can damage it. Do not place liquids directly on the glass. They may seep under it and damage the unit.
3 Dry the glass with a chamois or cellulose sponge to prevent
spotting.

Minor debris can accumulate on the white document-backing located underneath the unit's lid.
1 Turn off the unit, unplug the power cord, and raise the lid. 2 Clean the white document-backing with a soft cloth or sponge

Use a soft, damp, lint-free cloth to wipe dust, smudges, and stains off the case. The interior of the unit does not require cleaning. Keep fluids away from the interior of the unit as well as the front panel.

1 Turn on the unit, then open the print-cartridge access door (lift up
the handle located just above the output tray). The carriage moves to the center of the unit.

2 After the carriage stops moving, flip up the print-cartridge latch on
the right, grasp the top of the old print cartridge (the thinner one), then pull it up and out of its slot.
3 Remove the new print cartridge from its packaging and, being
careful to touch only the black plastic, gently remove both the green pull tab and blue tape covering the nozzles.
Caution! Do not touch the gold-colored contacts.

4 Push the new cartridge firmly down into the appropriate slot.
The print-cartridge label should be facing you after the cartridge is inserted.

5 Lower the print-cartridge latch down onto the top of the cartridge,
and push down until the latch locks firmly into place. After you are done, all cartridges should be in place and the
latches should be closed.

6 Close the print-cartridge access door. 7 After the message appears in the front-panel display, press Enter
to align the cartridge. A page prints to confirm alignment. You can discard or recycle

The HP PSC prompts you to align the cartridges every time you install or replace a cartridge. Aligning the print cartridges ensures high­quality output.
To align the cartridges after the message appears on the display, press Enter on the front panel.
To align the cartridges at any other time:
1 Press Setup. 2 Press 5, then press 2.
This selects the Maintenance menu, then selects the Align Print Cartridge option.

Use this feature when the Self-Test Report shows streaking or white lines through any of the colored bars. Do not clean cartridges unnecessarily. This wastes ink and shortens the life of your print cartridges.
1 Press Setup. 2 Press 5, then press 1.
This selects the Maintenance menu, then selects the Clean Print Cartridge option.
If copy or print quality still seems poor after you clean the cartridges, replace the cartridge that is affected.
A page prints to confirm cleaning. You can either discard or recycle this page.
Clean the print cartridge contacts when you get repeated front panel messages prompting you to check a cartridge after you already have.
Make sure you have the following materials available:
Cotton swabs or any soft material that will not come apart or leave fibers (for example, a scrap piece of clean cotton cloth).
Distilled, filtered, or bottled water (do not use tap water, as it may contain contaminants that can damage the print cartridges).
Caution! Be careful not to get ink on your hands or clothing.
1 Turn the unit on and open the print-cartridge access door.
The print cartridges move to the center.
2 After the print cartridges have moved to the center, unplug the
power cord from the back of the unit.
3 Follow these steps to clean each print cartridge.
a. Remove the cartridge from the holder. b. Dip a clean cotton swab into distilled water and squeeze any
excess water from the swab. c. Grasp the cartridge by its sides or top. d. Clean the contacts.

4 Close the door and plug in the unit.
5 After the message appears in the front-panel display, press Enter

restore factory defaults

You can restore the original factory settings to what they were when you purchased your HP PSC. Choosing to restore your factory defaults restores all settings, except speed dial entries, date, and fax header information.
You can only perform this process from the unit.
1 Press Setup. 2 Press 5, then press 3.

Because you removed a print cartridge from its holder, the unit will need to realign the cartridges.

3 To select the language, you can:
– Press until the desired language appears. – Wait till the desired language appears on the front panel
display.
4 Enter the two-digit number corresponding to the language on the
keypad. For example: for English, you would enter 11.
5 After entering the two-digit number code, you are prompted to
confirm that the language you selected is the one you want.
6 Press 1 for Yes and 2 for No. 7 After the language is selected, you are prompted with all the
countries for that selected language.
8 To select the country, you can:
– Press until the desired country appears. – Wait till the desired country appears on the front panel
display.

9 Enter the two-digit number corresponding to the country on the
keypad. For example: for USA, you would enter 10.
10 After entering the two-digit number code, you are prompted to
confirm that the language you selected is the one you want.
11 Press 1 for Ye s or 2 for No.

set the power save mode time

The bulb in your unit remains on for a specified period so that the unit is immediate l y r eady to resp o n d to your requ est. When the u n it has not been used within that specified period of time, it turns the bulb off to preserve power and displays Power Save On in the front-panel display. (You can exit this mode by pressing any button on the front panel.)
Your unit is automatical ly set to enter power-save mode after 12 hours. Follow these steps if you want the unit to enter this mode earlier.
1 Press Setup. 2 Press 5, then press 5 again.
This selects the Maintenance menu, then selects the Set Power Save Mode Time option.
3 Press until the desired time appears, then press Enter.

This section covers how to handle messages that may or may not appear during installation, how to set up the connection between your computer and your HP PSC, and how to add and remove the HP PSC software. The standard installation instructions are provided in your Setup Poster, which you should keep for later use.
For comprehensive information, see the fully-searchable onscreen User’s Guide. To access the guide for Windows, go to the Director, click Help, and then choose User’s Guide.
To access the guide for Macintosh, go to the Director, click Tools, and then choose View Onscreen Guide.
The onscreen User’s Guide is only accessible if the software has been installed.

if Microsoft’s New Hardware Found and Congratulation messages do not appear

If you installed the HP PSC software first as requested on the Setup Poster and you are a Windows 98/2000/ME/XP user, a series of Microsoft New Hardware Found messages should have appeared on your screen during software installation.
If the Microsoft messages did not appear, try the following:
Verify that you are using a high-speed (12 Mbps) USB cable and
that it does not exceed five meters in length (16.4 feet).
Verify that the computer is USB-ready. For more information about
determining whether your computer is USB-ready, see your computer’s documentation or check with the computer’s manufacturer.
Verify that the cable is plugged fully into your HP PSC and
directly connected to the USB port on your computer. After the cable is connected properly, turn your HP PSC off and then on again.

Turn your HP PSC off and then on again, then restart your computer.
If the previous steps do not solve the problem, remove and reinstall the software. For more information, see remove and reinstall your hp psc software on page 67.

if the Fax Setup Wizard does not appear

Follow the instructions discussed under if Microsoft’s New Hardware Found and Congratulation messages do not appear on page 65.

if the new hardware message appears (Windows 98, 2000, XP, or ME)

If you set up your HP PSC and connect it directly to your computer before you install the software, you may encounter one of the following messages:

To avoid errors, install the HP PSC software before you connect the HP PSC to your computer. If one of the above messages appeared and you clicked Next or OK, do the following:

if the previous version installed message appears

If you receive a message that you have a previously-installed version, installation of your HP PSC software will not be complete.
You will have to uninstall the previously-installed version in order to install the HP PSC software.

if your computer is unable to communicate with your hp psc

If communication cannot be established between your computer and HP PSC (for example, the HP PSC status icon has the yellow error triangle), try the same tasks outlined under if Microsoft’s New Hardware
Found and Congratulation messages do not appear on page 65.

remove and reinstall your hp psc software

Do not simply delete the program files from your hard drive. Be sure to remove it properly using the uninstall utility provided in the HP PSC 900 Series program group.
For more information, see the Setup Poster that came with your HP PSC. For Windows:
1 On the Windows taskbar, click Start, choose Programs, choose
Hewlett-Packard, choose hp psc 900 series, then choose Uninstall Software.
2 Follow the directions on the screen. 3 If you are asked whether you would like to remove shared files, click
No. Other programs that use these files may not work properly if the files are deleted.
4 After the program finishes removing the software, disconnect your
HP PSC, and restart your computer.
5 To reinstall the software, insert the hp psc 900 series CD-ROM into
your computer’s CD-ROM drive, and follow the instructions that appear.
