MAKING THE MOST OF ALL THE FEATURES

Your telephone’s Alphanumeric Display helps you use features and tells you about your calls; for example, a ringing external line may display a name before you answer it.
Press a One Touch Key for single key contact with colleagues and external callers, or when using certain features.
Function Keys are normally line keys, but you can program them for other features.
Dual Calling Keys are intercom keys for placing and answering calls; if you’re busy on one - just use the other.
Press the SPK key for Handsfree calls and the Microphone picks up your voice, or use the handset instead.
The system may restrict you from accessing some features - why not try and see what you are able to do.
Calling a Colleague
You can dial a colleague on the Intercom or use Paging if you don’t know where they are. Don’t just hang up when your colleague is busy, send them Off Hook Signalling using the Override feature to let them know you are waiting. If you don’t have time to wait leave a Callback request or Message Waiting indication, or if it is important that you must talk to them, interrupt the call using Break In.

External Calls
You can Answer External Calls that ring your phone or flash on your line keys. Night Service may change the way that the calls ring at your phone.
To Make External Calls use your line keys or dial codes. You may have to enter Account Codes before your call goes through. Use Preview Dial to check the number before you dial. Once the call goes through, the Call Timer automatically shows how long you’re on the phone. There is no need to keep redialling your external number if it is busy or unanswered, use
Repeat Dial .
Placing Calls Quickly
If there are colleagues or external clients that you ring regularly, program their numbers under the One Touch Keys for single key access. Store external numbers that you and other colleagues call often in the Abbreviated Dial Codes to allow you to easily dial the number with just a few key presses.
To quickly retry the number you just dialled try Last Number Dial or if you’ll need to redial the number later on let Saved Number Dial retain it for you. Ever want to jot a number down and not have a pen to hand - use Memo Dial to store the number in the phone’s memory instead.
When You Work in Groups
If you and your colleagues handle each others calls, you might be in a department Pilot Group. Someone calling your group’s number goes through to anyone who is available and step on allows them to quickly ring another member in the group without having to dial another extension number.
To answer a call ringing at a colleagues phone use Group Call Pickup . When you want others to join the conversation use Meet Me Conference to allow them to press the line key. Do you work closely with a colleague in a Manager/Secretary relationship - program the Buzzer and Boss Call Forward keys to quickly call your colleague and pick up calls intended for them. Ever need to listen to sounds in another work area - activate Room Monitor.

Handling and Rerouting Your Calls
Use Hold to place a call in a waiting state at your phone, or park it in an orbit for a colleague. You may Transfer the call to their extension and if you wish to speak to the caller after your colleague has finished set up a Series Call.
When you leave your desk think about Call Forwarding your calls to someone else. If you forget to set it, go to another phone and bring your calls to you with Follow Me. When you want other extensions to know where you are set a Text Message at your phone. If you are at your desk and don’t want to be interrupted set Do Not Disturb .
Personalising Your Phone
If you are in an open plan office, you may wish to make your phone ring in a unique way by selected a different Ring Tone. To have a comfort tone every time you press a dial pad key, enable Confirmation Tones. Let your colleagues know who’s calling by following Name Storing to assign a name to your extension.
Don’t forget to use your One Touch Keys to speed up access to colleagues and external callers, abbreviated dial codes and certain feature codes. You may record any dialling steps in a one touch ‘macro’ key with One Touch Serial Operation. To simplfy callback, message waiting or other features just assign these functions to the Programmable Function keys.
So you don’t forget an important meeting - set an Alarm to remind you. Try turning on the Background Music if you want to block out distracting noises in your work area. Tired of always reaching for the handset or cradling it under your chin - install a headset and enable Headset Operation.

MAKING INTERNAL CALLS
You may contact an individual extension by ringing or making a voice announcement at the called extension.
To call an extension
-
- Dial the extension number or 0 for the operator or press the one-touch key or function key† with an extension number stored
- If there is no answer or it is busy, simply dial another extension number without replacing the handset
- To toggle the call between ring/voice announce dial 1 after the number
PILOT GROUP CALLING
Extensions may be programmed into pilot groups so when you call a group number, it will ring the first available extension in the group and if there is no answer you can enter a code to manually step round the group. Extensions can opt in and out of the pilot group.
To call a pilot group

If the extension is busy you may choose to initiate either a callback : this allows you to make/take other calls before you are automatically alerted when the extension becomes idle (if it was busy) or is next used (if it was unanswered), or camp on : you remain off hook and wait until the extension becomes idle.

OVERRIDE BREAK IN
If an extension is busy, you may be permitted to send a signal (either off-hook ringing or a voice-announcement) to the called party indicating that you are trying to get through; or you may break in directly into the conversation of the busy party and all parties hear and may speak.

PAGING
You may need to make an announcement over the loudspeakers of idle keytelephones and/or external equipment. Both key telephones and single line telephones can make paging calls (if allowed), but the latter is unable to receive a paging call. Telephones may be programmed into one of 16 or 64 internal paging groups (depending on size) so that an announcement is sent simultaneously to the key telephones in a group. A paging key may be programmed.

MAKING EXTERNAL CALLS
Exchange line access may be programmed in a number of ways; you may select an individual line, dial a group access code or a common access code (ususally 9). You may need to check how your system is programmed in order to find the best way of making external calls.
To make an external call
-
- Dial 9 OR Press an individual line key † OR Dial 8 0 4 and the line group number OR Dial 8 0 5 and the individual line number
- Dial the external number A call timer will start about 10 seconds after you dial the last digit, or once the call is answered if on ISDN lines.
An extension may be allowed to use continued dialling in order to access services like voice mail, automatic banking. After the external service is answered you may dial digits for the options the service allows.
PREVIEW DIAL†
This allows you to preview a number before it dials out to help avoid misdialling.

- Dial the external number (you may need to prefix with * if a Voice Announce Unit is fitted)
- Press a line key to dial the displayed number (or simply go off hook if prefixed by 9) or press HOLD key to cancel number without dialling out.

By programming a CLI Restrict key it is possible to stop any CLI (Calling Line Identification) being sent from your telephone. Whilst the associated key lamp is lit, no CLI is sent, when it is idle then CLI is sent.

ABBREVIATED NUMBERS
Frequently dialled numbers may be stored as abbreviated dials (abdials) to speed up access. There are 1000 or 2000 abdials (depending on system size) that can be split into common or group codes as necessary by systen programming. Key telephones and single line telephones can both access the abdials and on a key telephone the DC key allows access to the common abdials.

This allows you to quickly redial the last external number called. Display key telephones may view and access the last 10 numbers.

REPEAT DIAL †
If the external party is busy or does not answer, a key telephone may use the Repeat Dial feature to automatically retry the number up to three times.

ACCOUNT CODES
These are user-dialled codes that may need to be entered when placing a call. An account code may be optional: to be entered at any time during a call (generally for call logging purposes), or forced: it must be entered every time an exchange line call is made, otherwise the system prevents the call. An account code may be up to eight digits including #.

Dial Block allows you to temporarily change the toll restriction (for dialling) set for your extension. Permission to use dial block and its associated toll restriction is set in system programming. If you forget your password, see your system supervisor.

Using an allocated password, this feature allows you to make an outgoing call which is normally restricted at an extension. The restriction is enforced again after the attempt unless the password is entered again.

Incoming internal calls to your extension may ring or be voice announced†

ANSWERING CALLS
Message Waiting : if an extension has tried to call you and left a message waiting request, you will have either a flashing FTR key or MW lamp or the Indicator lamp will be flashing green.
To answer a message waiting request

The two line appearance keys ( CL1 and CL2 ) mean that two external calls may be presented at any time via these keys. The user may decide whether a second incoming call is allowed to be presented or not.

CALL PICKUP
You may answer a call ringing at another extension by dialling a code or pressing a programmed Pickup key to intercept the call. Extensions may be programmed into pickup groups.
To pickup a ringing call

HANDSFREE†
Handsfree allows a key telephone user to process calls using the speaker and microphone in the telephone instead of the handset. The system provides three variations of handsfree operation: Full handsfree : a display key telephone user may make/answer calls by pressing the SPK key. One-touch line access : the user can press a line key without first lifting the handset or pressing the SPK key. Monitor : the user may place a call without lifting the handset but must lift the handset to speak (non-display telephone).
To talk handsfree (display telephone) To change from handset to handsfree

MICROPHONE†
The MIC key on a key telephone allows you to mute the handsfree microphone so that when you are on a call handsfree, your caller does not hear the conversation in your surrounding work area.; the microphone remains off until you turn it back on. You may also program a Microphone Cutoff key to allow you to mute the conversation at any time during a call when using the handset.
To mute/activate the microphone on handsfree/handset
- Press the MIC key to mute on handsfree (display telephone) or press the Microphone Cutoff key to mute on the handset
Note : When the MIC/Microphone Cutoff lamp is on - the microphone is off

HEADSET OPERATION†
A headset may be plugged in place of the telephone handset.
To enable/disable the headset
- With the headset plugged in/unplugged
- Press the Headset key or press an idle CL key and dial 8 3 4 and press the SPK key to complete You hear confirmation tone and the headset key lamp lights when the headset is enabled and goes out when
disabled.
When in headset mode:-

DUAL CL KEYS†
Each key telephone has two channel appearance keys ( CL1 and CL2 ) for making and answering calls. You may easily make a new call on one appearance key while a call is already in progress on the other.
For example: You are talking on an external call on the CL1 key, and wish to ring an internal extension
- Press the HOLD key CL1 lamp flashes with the external party on hold
- Press the idle CL2 key
- Dial the extension number and make your enquiry
- To reconnect to the original external party press the flashing CL1 key
You have an internal call in progress on the CL1 key and wish to answer an incoming external call on CL2 key
- Press the HOLD key CL1 lamp flashes with the internal party on hold
- Press the fast flashing CL2 key to accept the incoming call
- You may then hold/transfer/finish the external call
- To reconnect to the original internal party press the flashing CL1 key

HOLD
You may place a caller on hold to hear music on hold or silence. While the call is held you may process other calls or use a system feature.
To hold an internal call:-

An external call may be held in a number of ways. The HOLD key is programmed for system hold and in order to use exclu­sive hold a key must be programmed. A held call which is not picked up, automatically recalls to the extension placing it on hold.
Exclusive hold: only the extension placing the call on hold may reconnect to it as the line key (if programmed) appears busy at other key telephones.

TRANSFER
You may transfer an internal or external call to another extension/pilot group on the system by announcing the call or extending the call unannounced. If the transferred call is not picked up it recalls automatically to the extension making the transfer.
To transfer a call:-

You may wish to set up a multi-party telephone conversation. The system allows either four or eight parties maximum per conference, with up to two external parties or up to seven if on ISDN lines. A conference key may be programmed.
To set up a conference:-

This feature allows a key telephone user to invite others in the immediate area to join on an exchange line conference. The system releases the privacy on an exchange line so that other users can simply press the specific exchange line key to join the call. The key telephone must have a Meet Me Conference key programmed.

CALL FORWARD
You may wish to redirect your calls to be taken by another extension whilst you are away from your desk. Key telephones may program a call forward key.

You cannot forward to a pilot number, it must be an installed extension. Once call forwarding is activated, only the call forwarding destination extension can call you internally.

If you work closely with another colleague, such as a manager/secretary pairing, you may find it useful to be able to intercept your colleague’s calls and to ‘buzz’ them to alert them to give you a call when convenient. You and your colleague require Buzzer and Boss Call Forward keys to be programmed.

This feature allows a key telephone to listen to the sounds in another keytelephone’s work area over the handsfree microphone. It does not allow for any conversationbetween the monitored and monitoring phones. A room monitor key must be programmed.

PROGRAMMING KEYS†
A key telephone has two sets of keys which may be programmed by the user. Programmable Function Keys: your key telephone may have either 12 or 24 of these key with lamps. You may choose to program either an extension number, exchange line or a feature using the function code under each key. One Touch Keys: there are 10 of these keys on your key telephone and you may program an extension number, exchange line, or a feature’s service code under each key. A second operation may be stored under the One Touch keys (refer to One touch Serial Operation). The display telephones have many features already programmed for quick access - see later details.
There are two tables, one detailing the function codes and the other the service codes for features. Some features only have a function code and so may only be stored under a Programmable Function Key; some features only have a service code and so may only be stored under a One Touch Key; most features have both a function and service code associated and so may be stored under either key type.

PROGRAMMING ABDIALS†
There are 1000 or 2000 abdial codes (depending on system size) that can be split into common or group codes as necessary. These may be stored at a key telephone and may be accessed by all key telephone and single line telephone users on the system.
To store an abdial
- Press an idle CL key
- Dial 8 5 3 and the common abdial code or Dial 8 5 4 and the group abdial code
- Enter the telephone number to be stored (up to 24 digits including #, * and for a pause press the MIC key)
- Press the HOLD key
- To enter a name (up to 10 characters) for the abdial refer to the procedure defined in the Name Storing section

DSS CONSOLE
The DSS console gives a Busy Lamp Field and one key access to extensions or exchange lines, and simplifies the transferring of calls. There are two types of DSS consoles, a 24 key and a 100 key console; the latter has a bottom row of fixed keys which are detailed over the page.

100 Key DSS Console
Each of the 100 keys may have two numbers stored and each level has its own busy lamp field; the keys EXT.1 and 2 are used to select the range. The bottom row of fixed keys with busy lamp fields are used as follows:
ALT: Press to activate an alternative (preprogrammed) answering point for when the DSS console is not attended. When the lamp is on, alternative answer is enabled. If you are not able to set this, you will hear a long tone.
NIGHT/DAY/ : Press to select the appropriate service mode and the associated lamp will come on. BREAK/NITE2 The system may be programmed to automatically switch into night mode.
PAGE : Pressing this key changes the function of the first eight DSS console keys to the associated external paging
zones 1- 8. Press the key for the required zone and make the announcement.. The lamp will be on if the zone is busy . To return to the normal console key functions press EXT.1 .
GROUP : Pressing this key changes the function of the first eight or thirty two consdle keys (depending on system size) to the associated internal paging zones 1 - 16 or 64. Press the key for the required zone and make the announcement. The lamp will be on if the zone is busy. To return to the normal console key functions press EXT.1.
DOOR : Pressing this key changes the function of the first eight console keys to the associated doorphones (1 - 8). Press the key for the doorphone you wish to call. To return to the norrmal console key functions press EXT.1

24 Key DLS Console
In order to access two numbers under each key, the associated 24 key telephone must have an EXT,1/EXT.2 key programmed (refer to the programming keys section and use function code 1086). When this key is lit, you access the numbers stored on the second layer of the console, when it is idle you access the numbers on the first layer.

SUPER DISPLAY
The Super Display keystation has an 8-line display with menu driven features providing in-context prompts. The best way to learn about the features available is to experiment with the different menus. From the normal display, when you press the key alongside the [MENU] option, you have the choice of five menus.

The keypad is used to enter the first character of the desired name; press the dial key the correct number of times to display the required letter. (The letters are printed on the keypad of the telephones). For example, the dial 2 key scrolls round A -> B -> C -> 2 -> A... the dial 3 key scrolls round D -> E -> F -> 3 -> D..
If you wish to enter more than the first character, press the CHECK key to store and move to the next character. The TRFR key will delete a stored chracter.

BASIC STATION
The Basic Station can access features using the service codes as described for the Single Line Telephone if whenever you see the instruction to press the Recall key, you press the HOLD key instead. The Basic Station has handsfree answerback so that if you receive an internal voice call you can respond by talking into the microphone without using the handset; you can also receive paging calls and a message waiting indication. The Basic Station does not support headset operation. The Basic Station can also set confirmation tones, sample and select ringing tones, and adjust the ringing and handset receive volumes as described for the Key telephone.
Four pre-programmed keys are used for accessing Last Number Dial, Saved Number Dial, Hold/Park and to give Message Waiting Indications. To access the features in blue, press the blue FTR key first. HOLD REDIAL - redials the last external number called . REDIAL SAVE PARK To use : Press FTR then REDIAL FTR

General Message : this is a way to quickly inform users of an important announcement. When a new General Message is recorded, all key telephones will receive a message waiting indication (via a flashing FTR or MW or Indicator lamp). Respond­ing to the message waiting indication in the normal way will then play the extension the general message and the message wait­ing lamp indication will go out.
