Caution!
Automatic FatiPhone Changeoverwill not route voice calls to extension
telephones on the same line as the fax machine. Do not useAutomatic Fax/Phone Changeoverif you intend to useone or more extension telephones
together with the fax machine.

3-16 BASIC OPERATIONS
Ifyou have connected an answering machineto yourfax as described in “Connections” in Chapter 1, you can receive both voice messagesandfax transmissions on the same linewhile you are out. To use the connection, you must first set your fax for operation with an answering machineand changeyour answering machine’s outgoing message,
SettingA.M. connection to YES
To set the fax for operation with an answeringmachine, reset Option Setting 10 (“A.M. CONNECTED”) to YES. This procedureis described InChapter 6, “Optional Settings”.
Changing the outgoing message
The outgoing message (OGM) of your answeringmachine shouldbe changedto inform callers who want to send a fax to presstheir Start key, Forexample, your message mightgo as follows:
“Hello. You’ve reached the ABC company. No one is available to take your call right now. Pleaseleave a messageafter the beepor pressyourfacsimile Startkey

CGmments:
It is advisable to keep the length of the message under 10seconds, If it is too long, you may have difficulty receiving faxes sentby automaticdialling,
Yourcallers can even leave a voice messageand send a fax messageon the
same call. Modify your outgoing message to explainthat they can first leave a

How the answering machine mode operates
While you are out, all of your incomingcalls will beanswered by your answering machineand its outgoing messagewill play. Duringthis time, your faxwill quietly monitor the line. If your fax detects a fax transmission, itwill take over the line and begin reception.
+ If the connection is not good or there is noise onthe line, the answering machine
and/or fax machine may not respondproperly.
+ The call counter on your answeringmachine may indicatethat voice messages
were received, when only fax messageswere received.
Note: When Option Setiing 10 (A.M. CONNECTED)is set to YESand the recep-
tion mode is set to FAX, the fax may interrupt voicecalls. If you want to use
the answering machine hook-up whileyou a= monitoring incoming calls,
you can prevent fax interruptionby temporarilychanging the receptionmode
to TELMODE during the call. For more information.see “Making Telephone
Calls” in Chapter 3.
4-2 ANSWERING MACHINE HOOK-UP
USING THE HOOK-UP
If the connection doesn’t operate properly, first check the following:
+ Is the answering machineconnected properlyto the fax? One end of the
answering machine line should be inserted in the “TEL SET’ socket on the fax, and the other end in the answering machine’stelephone line socket,
+ Have you set A.M. connectionto YES on your fax as describedon the first page
of this chapter, and is the
Ifthe above settings and connections are correct andthe connectionstill doesn’t operate properly, the operation of the answering machine andthe fax are probably not synchronizedwell. Some common synchronizationproblemsand their solutions are described below.
Are callers who want to leave a voice messagebeing interrupted bythe fax before they can do so?
The fax is set to take over the line and begin receptionIf it detects a specified duration of silence (called “Quiet Detect Time”). Ifyour outgoing messagecontains a pause or the caller pauseswhile leavinga message, and the pause is longer than the specified duration, the faxwill interrupt.
receptionmodesett.FA)(?
It is best to shorten or eliminate such pauses, but if necessatyyou can alsotry lengtheningthe Quiet Detect Time setting, This procedure is described in“Op-
tional A.M. Connection Settings” at the end of this chapter. Are callers who want to send a fax manuallyhaving trouble doing so after your
answering machine’s outgoing messageplays? If so, the answering machine may be disconnectingthe line (hangingup) before
your fax has a chance to take over the line and begin reception. You can make your fax activate sooner by shorteningthe Quiet DetectTime setting, This procedure is described in “Optional A.M. Connection Settings” at the end of this chapter.
Are you havingtrouble receiving documentssent by automatic dialling? Make sure that your answering machine’s outgoing messageis less than 10sec-
onds long, and that your answering machineis set to answeron between2 and 4
rings. Inserting a short pauseat the beginningof your answeringmachine’s out-
going message might also help, as this gives your fax a chanceto clearly hear and detect the fax “calling” tone which the transmitting fax sends in the case of automatic dialling.
ANSWERING MACHINE HOOK-UP 4-3
USING THE HOOK-UP
How fax transmissions are detected:
Your fax detectsfax transmissions intwo wayswhen an answering machine is connected, depending onwhether the documentis being sent automaticallyor manually:
Automatic dialling:lf the document is sent usinga form of automatic dialling, such as Rapid Keyor Speed Dialling, the transmittingfax machinewill senda “calling tone” at 3-second intervals for a period of about 30 to 40 seconds after dialling. When your fax detects this tone, it will disconnectthe answeringmachine, send a “reception tone” in response, and begin receivingthe transmission.
If the transmitting fax does not receivea receptiontone from your fax within 30 to 40 secondsafter dialling, it will usually hang up andautomatically redial several minutes later.
Since your fax may not be able to detect the transmittingfax’s calling tone until after
the outgoing messageends, it is important thatthe answering machineanswersthe
call within 4 rings and the outgoing messagedoes not last too long. Otherwise, your
fax may not be able to establish communicationwith the transmittingfax before the
latter hangs up.
~nual transmitting fax machine does not senda callingtone. Instead, the personfaxing normallywaits until they hear a receptiontone and then presses their Stan key. In the case of an answering machineconnection, theywill hear your outgoing message instead of a reception tone, and then presstheir Start key.
However, this does not signal a fax transmissionto yourfax. Instead, it must use a function called “Quiet Detect Time” to detect the transmission. This functioncauses your fax to disconnect the answeringmachine and begin receptionif it detects a certain duration of silence.
Your fax is set to automatically beginfax receptionif it detects a duration of silence
of 4 seconds. When the personfaxing pressestheir Start key, the line will go quiet, and the transmitting fax machinewill wait for a receptiontone from yourfax, Your
fax will therefore disconnect the answering machine4 seconds afterthe key is
pressed, and send a reception tone to tell theother fax machineto begin
transmission.
If your answering machine has a fast disconnecttime anddisconnects the line
before 4 seconds elapses, fax receptionwill not be possible. In this case, you must shorten the Quiet Detect Time setting as describedon the following page. On the other hand, if the Quiet DetectTime settingis too short, your fax mayinterrupt voice
callers if they pause during their messageor if there is a period of silence in your outgoing message.

This function causes the fax machineto take over the line and begin reception if a certain duration of silence is detected afterthe answeringmachineanswers,
Time selections for the period of silence are 1 to 10seconds. Quiet DetectTime has been setto 4 seconds at the facto~. This gives the best performancewith most answering machines; however, you may needto adjust this setting dependingon
the disconnect time of your answering machine.
+
Some answering machines may have unusuallyfast disconnecttimes (equal to or very slightly less than 4 seconds), which meansthat the answering machine may disconnectthe line beforefax receptioncan begin. Inthis case, try a Quiet Detect Time setting of about 3 seconds.
