How to Use This Guide

Introduction

This guide describes how to prepare the HP LaserJet multifunction peripheral (MFP) to work with Kofax Front-Office Server. After preparing the HP MFP, you can upload profiles with shortcuts from Kofax Front-Office Server Administration Console whenever needed.
Before continuing, refer to the Kofax Web site at www.kofax.com for supported HP MFP models and software updates.

Overview

Kofax Front-Office Server enables documents from a variety of sources, including multifunction peripherals (MFPs), to be delivered to content management systems, email servers, and other destinations.

Summary of Features

The following Kofax Front-Office Server features are available with the HP MFP. Refer to the Help for Kofax Front-Office Server Administration Console and Kofax Front-Office Server Web Client for more information.
Management Through Kofax Front-Office Server Administration Console
Kofax Front-Office Server Administration Console is able to discover MFPs on the network, and you can add them to Kofax Front-Office Server. Through the Administration Console, you may open the Web page for the HP MFP.
The number of MFPs that you can use with Kofax Front-Office Server depends on your license. You can add and remove MFPs from Kofax Front-Office Server whenever needed.
Custom Kofax Front-Office Server Front Panel
When deploying profiles on the MFP, a Kofax button is added to the front panel to provide access to Kofax Front-Office Server features. Press the button to open a front panel with options for sending documents to Kofax Front-Office Server destinations and scanning with a coversheet. The front panel appearance depends on the MFP model.
Send to Me
The Send to Me feature enables you to manage documents at your workstation by using Kofax Front-Office Server Web Client. When you press Send to Me, you are prompted to enter your user name. The scanned documents are sent to your Web Client Inbox where you can add, reorder, and remove pages, merge documents, add notes and redactions, and rotate pages before sending documents to destinations.
Coversheet
This feature enables users to add a coversheet generated by Kofax Front-Office Server Web Client to the documents they want to send to destinations.
Shortcut Buttons
Shortcut buttons enable users to send documents directly to destinations from the MFP. As an administrator, you can define global and group shortcuts that are available to anyone who uses the MFP. Use Kofax Front-Office Server Administration Console to create shortcuts, assign the shortcuts to profiles, and then deploy the profiles to display the shortcuts on the MFP front panel.
Users can also create their own shortcuts with Kofax Front-Office Server Web Client. When users log on at the MFP, the global and group shortcuts as well as their personal shortcuts appear.
Language Support
At the MFP, users can specify the language for the front panel. If the language specified is not supported by Kofax Front-Office Server, the default language English will be used on the front panel.
Index Fields
Users can enter values for index fields at the MFP using the on-screen keyboard. Required fields are indicated with an asterisk (*). Any data entered is validated with the destination for an appropriate data type (such as data that can be entered as numbers only) and data length (number of characters allowed).

If a list is available for a field, the user can simply select the desired entry. If a user forgets to enter values, the front panel prompts the user to complete required fields before continuing.
Using the Data Validation SDK, you can specify a variety of validation and field lookup options.
Enhanced Lookup
Depending on the destination configuration, at the MFP, lookup is possible for fax number and email address fields. Thus, based on the provided search string, Kofax Front-Office Server retrieves fax number and email address lists from Active Directory, LDAP, personal address books, as well as from the embedded database table customemailfaxlookup. For information about the various data sources and necessary configuration steps, refer to the Kofax Front-Office Server Administrator’s Guide.
At the front panel of the MFP, press the fax number or email address field to open the on­screen keyboard and type the search entry. Then, press Search to obtain the list of matching entries.
Additional Scanning Options
Users can override the default resolution or other scanning options for a document by pressing the More Options or Options button. (The button label depends on the MFP model.)

System Requirements

Before deploying the Kofax Front-Office Server front panel to the HP MFP, install Kofax Front­Office Server on the server and install the Open eXtensibility Platform for Devices (OXPd) on the HP MFP. The OXPd, which is also known as Device eXtensibility Platform (DXP) or Simple Document Capture (SDC), is an HP product that is required for the Kofax Front-Office Server client software.
Warning To successfully deploy the front panel, the HP MFP must meet firmware, memory, and
other requirements. Refer to Verifying the MFP Requirements on page 9 for more information about MFP requirements.

Preparing the MFP for Kofax Front-Office Server

This section describes how to prepare the MFP to use Kofax Front-Office Server.

Prerequisite Steps

To install the Kofax Front-Office Server software on the MFP, you need to install Kofax Front­Office Server and make sure that there is a network connection between Kofax Front-Office Server and the MFP. Do the following before installing the software on the MFP:
Create users with administrator rights.Install a license that grants you the use of one or more input devices such as MFPs.Install one or more destinations and create shortcuts for them in Kofax Front-Office Server
Administration Console. To display the shortcuts on the front panel of the MFP, you will use profiles, which are deployed on the MFP.

We also recommend that you set up a DNS server on the device so that the OXPd can resolve host names. For more information, refer to the HP documentation.

Configuring Internet Information Services (IIS)

If you are using IIS 7, you need to increase the maximum allowed HTTP request size to allow large documents to be transferred from the MFP. HP MFPs send an entire document in a single transfer. The IIS 7 default of 30 MB is insufficient to support larger documents. To change this value, increase the maxAllowedContentLength parameter as shown in the following procedure. You must be logged on as a local administrator to set this value. For more information about setting parameters, refer to the IIS documentation.
X To change the maxAllowedContentLength parameter
1 Open the Command Prompt window. 2 Change to the System32\inetsrv folder where Windows is installed. 3 Enter the following command:
appcmd set config -section:requestFiltering
-requestLimits.maxAllowedContentLength:size
Where size is the maximum request size in bytes up to 4294967295 bytes (1 byte under 4GB).
For example, to set the maximum request size to 100 MB, enter the following command:
appcmd set config -section:requestFiltering
-requestLimits.maxAllowedContentLength:104857600

Installing the OXPd

Install the OXPd version provided with Kofax Front-Office Server.
If you have another version of OXPd, DXP, or SDC, remove it and install the files provided with Kofax Front-Office Server. Only the version provided with Kofax Front-Office Server has been verified to work with the product.

Verifying the MFP Requirements

Before installing the OXPd, make sure that your MFP meets the minimum firmware, memory, and other requirements. Kofax Front-Office Server includes the release notes provided by HP that indicates the supported firmware versions.
X To open the HP release notes
1 In Windows Explorer, navigate to the folder where Kofax Front-Office Server is installed
(normally C:\Program Files\Kofax\Front-Office Server) and then navigate to the \Resources\extensions\mfp\hp folder.
2 Select the appropriate release notes file for your model of HP MFP (Table 1). Refer to the
Kofax Front-Office Server Support pages on the Kofax Web site to identify the Group

number of your model of HP MFP. HP models have similar numbers, so make sure that you identify the HP model and Group number correctly.

3 Make sure that your MFP meets the requirements specified in the release notes. If you
need to upgrade your MFP, contact HP for assistance.

Uninstalling a Previous Version of HP Software

If you have another version of OXPd, Device eXtensibility Platform (DXP), or Simple Document Capture (SDC), remove it and install the OXPd files provided with Kofax Front-Office Server. Only the version provided with Kofax Front-Office Server has been verified to work with the product.
X To uninstall a previous HP OXPd, DXP, or SDC
1 Open the HP loader page in a Web browser window. Enter the following URL:
http://mfp/hp/device/this.loader
Where mfp is the IP address or host name of the HP MFP.
2 When prompted, enter the user name and password of the HP administrator user. When
you have logged on successfully, the Package Loader page appears (Figure 1).

3 Scroll to the Reloadable Packages section of the page. 4 Select the box to the right of the Open eXtensibility Platform for Devices (OXPd), Device
eXtensibility Platform (DXP), or Simple Document Capture (SDC) package.
5 Click Remove Selected Packages. The HP Package Loader Page refreshes to indicate that
the package has been removed.
6 Remove other packages installed with the OXPd, DXP, or SDC as needed. Do the
following:
a Select the boxes to the right of the packages you need to uninstall. b Click Remove Selected Packages. c After the page refreshes, other packages may be available for removal. Repeat steps a
and b until there are no more packages that can be uninstalled.
Note The MFP may restart automatically while uninstalling packages.

Installing the OXPd Files

Follow the instructions in this section to install the OXPd file for your type of device.

X To install the OXPd
1 Open the HP loader page in a Web browser window. Enter the following URL:
http://mfp/hp/device/this.loader
Where mfp is the IP address or host name of the HP MFP.
2 When prompted, enter the user name and password of the HP administrator user.
If you have not created an administrator password for the HP, a Package Loader page appears that prompts you to create a password. Click the link on the page to create a password. You are then prompted to log on.
When you have logged on successfully, the Package Loader page will display.

3 Use Enter Package File (the second field) to select the appropriate OXPd file as follows:
a Click the Browse button to the right of the Enter Package File field. b In the File Upload window that appears, navigate to the folder where Kofax Front-
Office Server is installed (normally C:\Program Files\Kofax\Front-Office Server) and then navigate to the \Resources\extensions\mfp\hp folder.
c Select the appropriate file for your model of HP MFP (Table 2) and click Open. The File
Upload will close, and the file path and name will display in the Enter Package File field. If this information is incorrect, click Clear and then click Browse to select the correct file.
Refer to the Kofax Front-Office Server Support pages on the Kofax Web site to identify the Group number of your model of HP MFP. HP models have similar numbers, so make sure that you identify the HP model and Group number correctly.

4 Click Load Package Now. The Package Loader page indicates that the file has been loaded
successfully.
5 Wait for the HP MFP to load the OXPd and restart. Different HP models may restart
differently. Refer to the HP documentation if you need more information.
6 Click the Loader Home link at the bottom of the page. If the connection to the page times
out, the HP MFP is still restarting. Wait for the HP MFP to finish restarting and then refresh the browser window.
7 Scroll to the bottom of the Package Loader home page. (Refresh the browser window if
necessary.) The Reloadable Packages table should include the following packages:
hp.laserjet.security.agentChai SSL Service (called ChaiSSL Package on Group 10 MFPs)hp.laserjet.security.servicesChai GUIScanControlSimple Document Capture (SDC), Device eXtensibility Platform (DXP), or Open

Configuring Kofax Front-Office Server

Kofax Front-Office Server has a configuration file, mfp.hp.properties, which needs to be changed to enable the MFP to communicate with Kofax Front-Office Server. You can also specify scan settings.

Editing the Configuration File

Follow these steps to edit the mfp.hp.properties file.
X To modify the configuration file
1 In the \conf folder, locate mfp.hp.properties and open it in a text editor. 2 Modify the following properties in the file:
server.protocol server.port server.authmode mfp.protocol mfp.username mfp.password mfp.duplex mfp.assembly mfp.retry.count mfp.retry.interval mfp.selectionlist.max mfp.scan.color.mode mfp.scan.resolution

After the installation of Kofax Front-Office Server, these properties have default values. Information about the possible values for each property is in the mfp.hp.properties file.
Note the following when changing this file:
Do not change the server.url.subpath property.All HP MFPs connected to the same Kofax Front-Office Server must have the same
user name and password.
When the password has been changed, it appears encrypted in the properties file after
Kofax Front-Office Server has been restarted.
For fastest performance, use low-resolution grayscale images.Resolutions greater than 200 dpi may adversely affect performance.You can override the color mode, background cleanup, darkness, sharpness, and
resolution settings for a scan job at the front panel.
If there is a failure, documents may be dropped without warning.The default value is used if the property is not included in the file or if the value is
invalid.
3 Save and close the file. 4 For the changes to take effect, stop and restart Kofax Front-Office Server.

Configuring the Connection (HTTP or HTTPS)

By default, Kofax Front-Office Server and the MFP device communicate via a secure connection. Follow the instructions in this section to configure the connection between Kofax Front-Office Server and the MFP device.
X To configure the connection from the MFP to Kofax Front-Office Server
1 In the \conf folder, locate mfp.hp.properties and open it in a text editor. 2 Edit the mfp.hp.properties file as follows:
a Specify whether you want to use a secure (HTTPS) or unsecure (HTTP) connection
(
server.protocol).
b Enter the number of the port used by Kofax Front-Office Server for the secure or
unsecure connection (
Note With standalone installations, the port for the secure connection needs to be
identical with the port specified in the server.xml file, which is located in \Avalin\jboss\server\avalin\deploy\jbossweb-tomcat55.sar where Kofax Front­Office Server is installed.

5 For HTTPS, on the Web page for the HP MFP, define the DNS server for the MFP.
X To configure the connection from Kofax Front-Office Server t o the MFP
1 In the \conf folder, locate mfp.hp.properties and open it in a text editor. 2 Edit the mfp.hp.properties file as follows:
a Specify whether you want to use a secure (HTTPS) or unsecure (HTTP) connection
(
mfp.protocol).
b If you want to configure a port other than the default HTTP or HTTPS port, add the
following line to the file:
mfp.port=<The number of the port for the secure or unsecure connection>
3 Save and close the file. 4 For the changes to take effect, stop and restart Kofax Front-Office Server.

Configuring the Authentication Mode

You can configure Kofax Front-Office Server to allow different authentication modes which utilize MFP user authentication (LDAP, SecureJet, SafeCom). You can also enable the Send to Me authentication on HP MFPs.
Follow the instructions in this section to change the authentication mode configuration or enable the Send to Me authentication.
Make sure the MFP user authentication with LDAP, SecureJet, or SafeCom has been configured properly before you continue to configure Kofax Front-Office Server.
X To configure the authentication mode
1 In the \conf folder, locate mfp.hp.properties and open it in a text editor. 2 Add either of the following lines to the file:
server.authmode=none
After logging on to the MFP device, when pressing Log In, users are prompted for their user name and password to use the personal shortcuts.
server.authmode=semi
After logging on to the MFP device, when pressing Log In, users are prompted for their password to use the personal shortcuts. The “User Name” field is already populated.
server.authmode=full
At the MFP device, users need to authenticate only once to use both the MFP and Kofax Front-Office Server features (single sign on).
Note If no authentication mode is specified, Kofax Front-Office Server will use the
“none” method.
3 Save and close the file. 4 For the changes to take effect, stop and restart Kofax Front-Office Server.
X To enable the Send to Me authenti ca ti on
1 In the \conf folder, locate mfp.hp.properties and open it in a text editor.

2 Edit the sendtome.auth.required property as follows:
sendtome.auth.required=true
The Send to Me button is not available on the MFP until the user logs on, and the pre­populated user name is read-only. Documents can only be sent to the user that is logged on.
3 Save and close the file. 4 For the changes to take effect, stop and restart Kofax Front-Office Server.

Optimizing the Scan Quality

Kofax Front-Office Server supports the following scan settings for HP:

Note These scan settings require OXPd 1.4.1.0 or later and are delivered with the corresponding
default values.
Note imageAdjustContrast is currently not supported for Group 10, 20, 40, and 50 devices. Do not
enable this setting.
You can specify scan settings for all HP MFP models and optimize the scan quality for individual MFP models.
X To specify scan settings valid for all HP MFP models
1 In the \conf folder, locate mfp.hp.properties and open it in a text editor. 2 Specify the scan settings as needed.
Note The scan settings can be easily identified by the syntax mfp.scan.scansetting, for
example mfp.scan.color.mode or mfp.scan.resolution.
3 Save and close the file. 4 For the changes to take effect, stop and restart Kofax Front-Office Server.
X To specify scan settings valid for individual HP MFP models
1 In the \conf folder, create the file mfp.hp.HPmodel.properties, where HPmodel is the
number of the HP MFP model for which you want to specify the scan settings, for

example mfp.hp.M3035.properties for the HP LaserJet M3035 MFP, or mfp.hp.4345.properties for the hp LaserJet 4345 mfp.
Tip The HP model number is displayed on the front panel of the MFP. In Kofax Front-
Office Server Adminstration Console, the HP model number can be found in the Devices section if the original device name has not been changed after discovery.
2 Copy and paste the scan settings content from mfp.hp.properties to
mfp.hp.HPmodel.properties.

in this file, it is sufficient to save and close the file.
Important The settings in the mfp.hp.HPmodel.properties file override the settings in the
mfp.hp.properties file for the respective MFP model. For example, if you want to specify imageAdjustBackgroundCleanup for all MFPs except for model M3035, in the mfp.hp.M3035.properties file, leave this setting empty (mfp.scan.image.adjust.background.cleanup= ). In this case, the default value is valid for the HP M3035. For other HP MFP models, the value specified in mfp.hp.properties is valid.
You can also determine whether you want documents to be scanned in black and white only.
X To allow documents to be scanned in black and white only on all MFPs, in the
mfp.hp.properties file, set fileType to “TIFF”, optimizeTextPhoto to “Text”, and colorMode to “Gray”.
X To allow documents to be scanned in black and white only on individual MFP models,
in the corresponding mfp.hp.HPmodel.properties files, set fileType to “TIFF”, optimizeTextPhoto to “Text”, and colorMode to “Gray”.
Note With these settings, VirtualReScan is skipped when scanning documents. Therefore, VRS
features such as automatic page rotation and image crop cannot be used when scanning in black and white.

Using Custom Validation

Any text entered for index fields is validated with the destination for an appropriate data type and data length. For a more detailed validation and a variety of field lookup options, you can configure Kofax Front-Office Server to perform the following additional steps in the order they are listed:
Field validation: Each field value is validated as soon as it has been changed. You can
determine which fields to validate, and whether other fields will be filled in automatically or provide a selection list after successful validation. For selection lists, you can additionally define whether users will have to select a value from the list or whether they can also type a value which is not in the list.

Note In case of invalid field values, a notification message appears at the MFP, but users
can continue scanning.
Form validation: All the field values of a form and their interdependencies are validated.

1 Create a validation class using the Data Validation SDK, located in the
\OtherResources\DeveloperResources\DataValidation folder where Kofax Front-Office Server is installed.

Tip If you want to use only one of these validation methods, modify the one you do not
need so that the validation method will always return null.

Deploying the Kofax Front-Office Server Front Panel

When you use Kofax Front-Office Server Administration Console to add an HP MFP to Kofax Front-Office Server and deploy a profile, the front panel is automatically deployed along with it.
X To deploy the Kofax Front-Office Server front panel
1 Run the Administration Console as shown in the Kofax Front-Office Server Installation
Guide. Log on as a user with administration rights.
2 Add the MFP in the Administration Console. Follow the instructions in the
Administration Console Help to discover the MFP on the network or add it manually. The MFP should display on the Added Devices tab.
3 Create shortcuts and a profile to deploy on the MFP, following the instructions in the
Administration Console Help.

4 Select the HP MFP on the Added Devices tab. Then, select Available Actions | Deploy
Profiles and click Apply. The front panel and the profile are deployed on the MFP.
The HP MFP is now ready to use with Kofax Front-Office Server. You can use Kofax Front-Office Server Administration Console to create and change profiles and to deploy a profile on the MFP.

The following is additional information which may be of interest to you when working with Kofax Front-Office Server and the MFP.

When Deploying Profiles

When you deploy profiles to the MFP with Kofax Front-Office Server Administration Console, make sure the MFP is turned on. If the MFP is not on when the profiles are deployed with the Administration Console, a “connection error” appears. When the error occurs, turn on the MFP and deploy the profiles again.

Submit Button for Group 20 and Group 50 HP MFPs

Group 20 and Group 50 HP MFPs do not display a Submit button, as Group 10 MFPs do. You can submit jobs on Group 20 and Group 50 MFPs by doing either of the following:
Press the MFP’s Start button on the MFP panel.Press this button at the top of the MFP touch-screen.

Clicking Discover does not find the MFP. What happened?
Use the Refresh command to update the list of discovered devices. The MFP may be offline or on a separate network. Refer to the MFP documentation for instructions. If the Discover option still does not find the MFP, use the Add New Device command and specify its IP address. Then, click Discover to retrieve information about the device.
Why am I unable to add MFPs?
There may not be enough available licenses to support the MFPs you want to add. Remove MFPs from the Added Devices tab or purchase a license that supports additional devices.
Why am I unable to deploy the Kofax Front-Office Server front panel on the MFP?
Make sure that you have installed the OXPd on the MFP before deploying the front panel. Refer to Installing the OXPd

Why am I unable to send documents to a destination from the MFP?
For global shortcuts, make sure that you have established credentials with the destination type in Kofax Front-Office Server Administration Console.
Documents may also fail to be sent if the data that was entered in the index fields is invalid. Make sure that you have entered information for all required index fields and that all information is correct.
How long does it take for shortcuts to be deployed on the MFP?
The shortcuts should display shortly after you deploy the profile from Kofax Front-Office Server Administration Console. There may be a short delay depending on network traffic and the frequency that the MFP refreshes. If the shortcuts do not display after a long period, make sure that the MFP is connected to the network.
Why does the Kofax Front-Office Server front panel have different buttons and labels on different models of HP MFPs?
The user interface is different depending on the Group to which the HP MFP belongs. Most options are available on all models, but they may have different button names and formats. Refer to the Kofax Front-Office Server Support pages on the Kofax Web site for a list of supported devices.
Why do I get a “connection error” when deploying profiles?
Make sure the MFP is turned on and verify network communication (for example, ping the MFP).
Where can I find log information for my scan jobs?
To retrieve the OXPd log information, open a Web browser and enter the following URL:
http://mfp/hp/device/sdc?GetLog
Where mfp is the IP address or host name of the HP MFP. The OXPd log appears, where you can find useful information for troubleshooting.
