How to Use This Guide

Introduction

This guide includes the information you need to install Kofax Desktop and activate the product
license. After completing the Kofax Desktop installation, you can get detailed information about
the product features and user interface from the online Help.

To get the most out of Kofax Desktop, you should have a basic understanding of the Windows
operating system and Microsoft Office programs.

Kofax Desktop Help

After installation, you can access Kofax Desktop Help to get online product assistance, including
step-by-step procedures and details about the user interface. To locate information within the
Help, you can use the table of contents, the index, or the full-text search feature.

X To open Kofax Desktop Help, do one of the following:

 Press F1 anywhere on the Kofax Desktop window.
 Click the question mark icon in the upper right corner of the Kofax Desktop window.
 On the Help tab, in the Help group, click Help.
 From the Kofax Desktop notification area icon, right-click and select Kofax Desktop Help.

Kofax Desktop Release Notes

The release notes contain information that is not available in your other Kofax Desktop
documentation. To view the release notes, go to the Support pages on the Kofax Web site at
www.kofax.com and select Online Documentation.

Technical Support

The Kofax Desktop technical support Web pages are available from the Kofax Web site at
www.kofax.com. The support pages provide product-specific information, such as current
revision levels, the latest software patches, online documentation, updates to product release
notes (if any), technical tips, and an extensive, fully searchable knowledgebase.

The Kofax Web site also contains information that describes support options for Kofax products.
Please review the site for details about the available support options.

Kofax Desktop Community Forum

If you need technical support for Kofax Desktop, submit your request to the user community via
the Kofax Desktop forum. You can access the forum from the Support pages on the Kofax Web site
at www.kofax.com.

The Kofax Desktop community forum has been set up so that users can communicate directly
with Kofax and other Kofax Desktop users via informal discussions. Although the forum is
moderated by Kofax, there is no service level agreement, express or implied, in connection with
the input to the forum from Kofax personnel.

Overview

Kofax Desktop is an easy-to-use, document scan application. You can scan documents from
Windows Desktop, Windows Explorer, and Microsoft Office 2007 programs, including Word,
Excel, PowerPoint, and Outlook mail messages. You can also scan documents to Microsoft
SharePoint 2007 from Outlook, Windows Desktop, Windows Explorer, and Windows notification
area.

To ensure the availability of Kofax Desktop from Microsoft Office programs, be sure they are
installed and closed before you begin the Kofax Desktop installation. See Installing Kofax Desktop
on page 7.

System Requirements

Before installing Kofax Desktop, review the requirements in this section.

Recommended Computer Hardware

To ensure optimal performance, your computer should meet or exceed these requirements.

 Processor: Dual core
 Memory: 2 GB
 Hard disk: 250 GB (7200 rpm)
 Disk space for software installation: 350 MB (allow more space for scanned images)
 Monitor resolution: 1280 x 1024

Internet Connection

You must have a working Internet connection to download the Kofax Desktop installer, purchase
the product, and activate or deactivate the license. For details, see Installing Kofax Desktop on
page 7 and Removing Kofax Desktop on page 9.

Certified Operating Systems

Kofax Desktop is certified on the following Microsoft Windows operating systems:

 Windows XP Professional, Service Pack 3
 Windows Vista (Enterprise and Business editions, 32-bit), Service Pack 1

Integration with Microsoft Products

You can use Kofax Desktop to scan directly from the following Microsoft Office 2007 programs:

 Word
 Excel
 PowerPoint
 Outlook

After installing Kofax Desktop successfully, you will notice that Kofax Desktop Scan tab is added
to the Ribbon in each of the Microsoft Office programs in the preceding list. In Outlook, the Kofax
Desktop Scan tab is available from a new mail message, appointment, or meeting request.

To ensure the availability of Kofax Desktop from Microsoft Office programs, they must be
installed before you begin the Kofax Desktop installation.

Also, you can use Kofax Desktop to scan to Microsoft SharePoint if you have access to a
SharePoint 2007 server. For details about configuring Kofax Desktop to scan to SharePoint, see
Kofax Desktop Help and consult with your SharePoint administrator.

Scanners

Kofax Desktop works with a wide range of scanners that support the “TWAIN” standard for
communicating with a computer.

If you are not sure if your scanner supports the TWAIN standard, you can check the specifications
that are typically included in the scanner documentation or on the manufacturer’s Web site.

If your TWAIN scanner is currently installed, the scanner driver files you need are probably
already on your computer. If not, the TWAIN driver files are usually available from the
installation disk provided with the scanner or from the support or download pages on the scanner
manufacturer’s Web site.

If you are uncertain about compatibility between Kofax Desktop and your scanner, you can install
the product and use it in evaluation mode. Once you verify that Kofax Desktop can communicate
successfully with your scanner, you can purchase and activate a license. See Evaluating Kofax
Desktop on page 9 or Starting Kofax Desktop the First Time on page 8.

Installing Kofax Desktop

To perform a new installation, download the Kofax Desktop program from the Kofax Web site at
www.kofax.com.

Note You should install and connect your scanner according to the manufacturer’s instructions

either before or after the Kofax Desktop installation.

X To install Kofax Desktop

1 At the computer where you want to install Kofax Desktop, log in with Administrator

rights.

2 Close your Microsoft Office programs (including Outlook) and all other applications.

Note Kofax Desktop will not be available from Microsoft Office programs unless they are

closed during this installation.

3 Go to the Kofax Desktop pages on the Kofax Web site at www.kofax.com and download

the program:

 To use an evaluation copy of Kofax Desktop without purchasing a license now, click

Download Evaluation Copy (see Evaluating Kofax Desktop on page 9).

 To purchase the Kofax Desktop license now, click Buy Now and follow the

instructions on the screen to complete the transaction and obtain a license key.

Once the transaction is complete, your Kofax Desktop license key appears in the Receipt
section on the Web page. It is also sent to you via email.

4 If you purchased Kofax Desktop in the preceding step, make a note of the license key or

copy it to the Clipboard. Otherwise, proceed to the next step.

5 Download Kofax Desktop by clicking KofaxDesktop.exe.

The files are extracted and the Kofax Desktop installer screen appears.

6 Click Next and follow the setup instructions on the screen.

During setup, you are prompted to accept the license agreement and to specify a location
for installing Kofax Desktop.

7 Click Install to start the installation.
8 When you are notified that the installation is complete, click Finish.

Starting Kofax Desktop the First Time

When using Kofax Desktop the first time, you have the option of working temporarily with an
evaluation copy of the product without a license, or activating a license immediately.

To activate a Kofax Desktop license, you need to purchase a license key from the Kofax Desktop
Web pages. You can activate your Kofax Desktop license on one computer at a time.

Note You need a working Internet connection to purchase and activate a Kofax Desktop license.

X To start using Kofax Desktop

1 Be sure that you have installed and connected your scanner according to the

manufacturer’s instructions.

2 Place a document in the scanner feeder.
3 Do one of the following:

 Double-click the Kofax Desktop shortcut on your Windows Desktop.
 Click Start, point to the Kofax Desktop program, and click Kofax Desktop.
 Start Microsoft Word, Excel, or PowerPoint, select the Kofax Desktop Scan tab, and

click one of the scan controls.

 Start Microsoft Outlook, open a new mail message, appointment or meeting request,

select the Kofax Desktop Scan tab, and click one of the scan controls.

 Select a Kofax Desktop scan control after right-clicking from Windows Explorer,

Windows Desktop, or the Kofax Desktop notification area.

The Kofax Desktop Activation window appears.

4 Do one of the following:

 Type or paste your purchased Kofax Desktop license key into the “License key” field.
 Click Evaluate to proceed without activating a license now (see Evaluating Kofax

Desktop on page 9). Then skip the next step.

5 Click Activate, and then click OK to clear the message that confirms successful license

activation.

6 Press F1 to view the Help, which gives you online assistance and information about Kofax

Desktop features, including details about the user interface. You can also use ScreenTips
to get brief text descriptions of user interface elements such as tab controls and toolbar
icons. To view ScreenTips, point to a user interface element and hover until the ScreenTip
appears.

7 Keep your Kofax Desktop license key in a secure location for future reference.

Evaluating Kofax Desktop

When you start Kofax Desktop the first time, an evaluation period goes into effect for 14 days or 50
saves, whichever occurs last. Thereafter, you must purchase a license to continue using Kofax
Desktop. During the evaluation period, you can use all of the product features without limitations.

While evaluation mode is in effect, a “save” is counted each time you scan a document and then
save, attach, insert, or submit it. While the evaluation period is in effect, the Kofax Desktop
Activation window appears each time you use Kofax Desktop. You can discontinue the evaluation
period at any time by activating your license. For instructions, see Starting Kofax Desktop the First
Time on page 8.

Removing Kofax Desktop

This section explains how to remove Kofax Desktop from your computer. When you remove
Kofax Desktop, the license is automatically deactivated on your computer. You need a working
Internet connection to successfully remove Kofax Desktop and deactivate the product license.

X To remove Kofax Desktop

1 Close your Microsoft Office programs, including Outlook.
2 In Control Panel, double-click Add or Remove Programs (or Programs and Features on a

Windows Vista computer).

3 Select Kofax Desktop from the list of currently installed programs.
4 Click Remove (or Uninstall on a Windows Vista computer).
5 Click Yes in response to the confirmation message.
6 Click Yes or No to indicate your preference for removing user files, which include the

Kofax Desktop Administration settings, as well as user-defined profiles and theme
selections.

Tip If you intend to reinstall Kofax Desktop later on the same computer, you may want to

click Yes to keep the user files.

7 When you are notified that the process is complete, click Finish.

The next time you restart the computer, the removal of Kofax Desktop is completed. You
can restart the computer now, or do so at your own convenience.
