Introduction

What’s new in this release

Postalsoft 8.00c.01.00 includes changes to the following:
Version numbering. The software uses a new version numbering system.
See “New version numbering” on page 9.
Intelligent Mail discounts. Starting November 29, 2009, full-service
Intelligent Mail pieces in some mail classes and processing categories are eligible for discounts. See “Intelligent Mail discounts” on page 10.
Intelligent Mail fields. The Intelligent Mail Mailer ID and Intelligent Mail
Serial Number fields are new. See “New Intelligent Mail fields” on page 12.
Presort. Several new options and an updated MPC directory are available.
Beginning with this release, you must use the new mpc09.dir file. See “Presorting changes” on page 13.
Reports. Now you can control the number of days and mailer IDs reported in
the Intelligent Mail Serial Number History report. Also, the Address Assignment Summary Information report is redesigned and can be printed as a text file. See “Reports” on page 15.
Extended Services. When both street address line fields are in your layout,
the standardized delivery address is returned to the Address_2 field. Also, county codes are returned when the field is in your layout. See “Extended
Services” on page 16.
More entry points. If you own the Drop Ship / Pallets feature, you can now
use up to 60 entry points. Previously the limit was 30.
Drop-Ship / Pallets. A temporary (90-day) license key for the Drop-Ship /
Pallets add-on feature is given free of charge to all Business Edition customers who did not purchase the option. This gives you the opportunity to try the feature for 90 days. See “Keycodes” on page 7.
International address correction. The international address correction
feature has been removed from the software. If you previously used this service, notification was sent to you about the discontinuation of this feature.

Intelligent Mail barcoding

Move-update requirement change for Standard Mail

The USPS discount for full-service Intelligent Mail rates goes into effect November 29, 2009. For details, see:

The USPS announced a change to the date of the move-update requirement for Standard Mail:
We extended implementation of the Standard Mail Move Update noncompliance charge from May 11, 2009, to January 4, 2010. The charge applies to Standard Mail mailings that fail to fully comply with the Move Update standards. Delaying implementation allows extra time to provide our Standard Mail customers with additional feedback from our new postage verification systems, but does not relieve mailers of their obligation to comply with the Move Update standard if they intend to claim automation or Presort prices. BMCs renamed to NDCs

The USPS is in the process of renaming Bulk Mailing Centers (BMCs) to Network Distribution Centers (NDCs).
According to the USPS, “The new network will consolidate the processing of originating mail into fewer sites to achieve greater operational efficiency and reduce transportation costs while expanding the surface transportation reach for more products.”
At this time, the name change occurs only in labeling lists and some facility addresses. The wording change is not reflected in this release of the software.

Downloading software and directories

Downloading software from SMP
Downloading directories from SMP
You can download updated software and directories from the SAP Service Marketplace. Follow these instructions to download software or directories. If you’re installing from a CD that you ordered, you can skip this section.
To download software from the Service Marketplace:
1. Go to https://service.sap.com/bosap-support.
2. Sign in with your S-User ID and password.
3. In the Download Software & Directories section, click Support packages: service packs, fix packs, merge modules.
4. Select your product three times (on three successive pages).
5. Select your operating system (Win32).
6. Scroll down to the Download section and select the product(s) to add to your download basket.
7. Follow the instructions on screen to download your software.
To download directories from the Service Marketplace:
1. Go to https://service.sap.com/bosap-support.
2. Sign in with your S-User ID and password.
3. In the Download Software & Directories section, click Address directories for Data Quality / Postalsoft.
Available directories are listed, with the exception of eLOT, which will be presented after you select the Diversified directories (see step 6).
4. Click the item that you want to download (for example, SBOP ADDR DIR US - DIVERSIFIED), and click it again.

5. Click Installation. Make sure that you download all corresponding files for the same month and that you download the .exe files, not the .tgz files.
6. For each file that you want to download, click its checkbox so that a checkmark appears, and then click Add to Download Basket.
7. If you haven’t already installed Download Manager, click Get Download Manager to install it now. Download Manager is a Java-based utility that allows you to download multiple products and schedule downloads for a later time. When you click Get Download Manager, further instructions are available to follow.
8. To add more directories, click Address Directories near the top of the page, and repeat steps 4-6 for each remaining directory.
9. Open Download Manager on your computer and use it to complete the download.
Downloading tips:
Make note of the location on your computer where you download the file so
that you can locate it later.
If you’re not using Download Manager, it is recommended that you change
the numeric file name to something more descriptive before downloading. For directories, consider including the directory name and its month and year in the file name.
If you’re using Internet Explorer, manually add the .exe extension (for
directories) or the .zip extension (for software) to the file name either when you save the file or after you download. If the extension is missing, you may not be able to extract the files.

Install Postalsoft You can install from downloaded files or from a software CD if you ordered one.

Before you install software, close any open programs, especially antivirus programs, which can interfere with installation. To install software, you need full administrator rights.
To install the software from a downloaded file:
You must unzip the downloaded file, before you can install the software. If you’re installing from CD, you can skip this section.
1. Locate the downloaded file.
2. Double-click the file that you downloaded to unzip the downloaded files. Unzip them to a new folder named, for example, nov2009.
3. Go to the nov2009 folder and double-click setup.exe to install the software.
To install the software from a CD:
When you insert the software CD in your CD-ROM drive, the installation program should start automatically. If it doesn’t, follow these steps:
1. Access your Windows Start menu and choose Run.
2. In the Run window, type x:\setup (where x is the letter of your CD-ROM drive) and click OK.

Keycodes If this is your first time installing the software and/or you purchased add-on
options, type the keycode(s), also known as license keys, for each add-on option that you own when you are prompted to do so.
If you need to enter or edit your keycodes after installation, you can access the keycode program, License Manager, from the Start menu. Choose Start > Programs > Postalsoft Business Edition > License Manager. You enter your keycodes just once, not each time you install an update.
To acquire keycodes, go to https://service.sap.com/bosap-support
and click
Request License Key.
Drop-Ship / Pallets. Starting with this release, a temporary (90-day) license key for the Drop-Ship / Pallets add-on feature is given free of charge to all Business Edition customers who did not purchase the option. This gives you the opportunity to try the feature for 90 days. To learn more about drop­shipping and palletizing, see your user’s guide or online help. If you decide that the option is beneficial to your organization, contact your sales representative to learn about purchasing the option. If you do not want to palletize, you can turn pallet schemes off (Tools > Options, Pallet Schemes).
If you own the Drop-Ship / Pallets feature, this change does not affect you. Your use of the feature can continue as usual.
.NET During installation, a delay may occur while the Microsoft .NET Framework is
installed. Please be patient and allow installation to finish.
Reboot When installation is complete, the installation program restarts your computer.

Install directories Directories are available separately from your software. To install directories, you

need full administrator rights.
To extract your downloaded directory files:
If you’re installing directories from CD, you can skip this section.
USPS directory files that you can download are in a self-extracting (.exe) format. The self-extracting file contains a .zip file that you must extract and unzip.
1. Locate and double-click the .exe file that you downloaded.
2. When you’re prompted for the location in which to place the zipped directory
file, browse to the folder where you want to place the file and click Install.
3. Repeat steps 1 and 2 for each self-extracting .exe file that you downloaded. If

files total.
To load the directories from downloaded files or CDs:
1. Open the software and choose File > Load Directories.
2. In the Load Directories window, select the directories that you want to install.
Diversified directories include ZIP4US and other directories needed for
presorting and address correction.
eLOT directory is used when assigning Line-of-Travel codes for carrier-
route discounts.

DPV directories are used during Delivery Point Validation processing.
DPV is required for CASS certification.
LACS

directories are used during Locatable Address Conversion
System processing (converting rural route addresses to street addresses,

and other types of renaming). LACS

processing, which adds
suite numbers to high-rise business addresses.
3. Click OK.
A Loading Options window appears for each directory that you chose to install. When you finish loading one directory, the next Loading Options window appears.
4. If you’re installing from CD, insert the corresponding directory CD as needed. For example, when the Diversified Directory Loading Options window appears, insert the Diversified Directory CD.
5. In the Loading Options window, specify whether you’re loading the directory from a Downloaded File or from File Folder / CD. Specify the Source Location (where you’re loading from), the Destination Location (where you want the directories installed to), and click Load. Repeat this step for each type of directory that you're loading.
You can click Browse to search for the location that you’re loading from and to. You can also click Skip if you do not want to load a particular directory now.
When you load the Diversified directories, the ZIP4US directory is installed to the destination that you specify. Other smaller directories installed with ZIP4US are automatically installed to your default directory installation folder.

New version numbering

The version numbering system for Postalsoft Business Edition has changed. See the following example:
Postalsoft Business Edition 8.00c.01.00
The base version number. The service pack number.
You may see service packs abbreviated as SP in the soft­ware and on the web site.
The fix pack number (previously called revision number). You may see fix packs abbreviated as FP in the software and on the web site.

Integrated libraries Some other software products that are integrated into Postalsoft also use this new

version numbering system. When you choose Help > About Postalsoft and click About Integrated Libraries, you see version numbers for all integrated libraries.

Intelligent Mail discounts

Full-service Intelligent Mail rates

Effective November 29, 2009, full-service Intelligent Mail in the mail classes and processing categories described in this section are eligible for discounts. The full­service Intelligent Mail discount applies to the piece rate.
Postalsoft Business Edition offers both basic and full-service. You can choose the option that meets your needs. To benefit from the full-service discounts described in this section, you must select full-service Intelligent Mail barcodes.
To produce full-service Intelligent Mail barcodes, choose Full Service Intelligent Mail from the Barcode drop-down menu in the Sort for Mailing - Piece Information window. See your user’s guide or online help for complete details.
The USPS applies full-service Intelligent Mail discounts to metered mail as follows:
If you set the Payment Method option to Correct Meter, then, according to
the USPS, “the amount of affixed postage shall be exactly the price of the mail piece including, if applicable, the Full-Service discount.”
If you set the Payment Method option to Lowest Meter by Job or Lowest
Meter by Mailing, then, according to the USPS, “the amount of affixed postage shall be the amount applicable to the piece with the lowest required postage, including, if applicable, the Full-Service discount.”

Postage Statements The USPS updated postage statements for all applicable mail class processing

categories to include a full-service IM discount section.

First Class Full-service First-Class mail receives an IM discount of $0.003 for pieces in the

following processing categories:
Automated letters Automated flats Automated cards

The following mail is not eligible for discounts:
Saturation carrier-route flats Simplified addressed mail (no address line and no barcode)
Although there is no DMM requirement saying that you need a barcode on PSVC carrier-route flats and DDU presorted flats, the USPS is offering the full-service discount if you barcode these pieces with an Intelligent Mail barcode.
When preparing a full-service mailing, it is your responsibility to verify that you are printing the IM barcode on these pieces.

New Intelligent Mail fields

Two new Intelligent Mail fields are available:
Intelligent Mail Mailer ID Intelligent Mail Serial Number
At the end of the presort setup process, the Intelligent Mail Information window appears. The mailer ID number that you enter in this window and the generated serial number are populated in the new Intelligent Mail Mailer ID and Intelligent Mail Serial Number fields if you choose to post presort fields. You can view the fields on screen (if the fields are in your layout) and/or export to a file.
Presort, choose IM barcode. You must presort and select one of the Intelligent Mail barcode types during presort setup in order for the mailer ID and serial number data to be populated in the Intelligent Mail Mailer ID and Intelligent Mail Serial Number fields and for it to be available for exporting.
Not for importing. Do not use these new fields for importing mailer IDs and serial numbers. If you do, your mailer IDs and serial numbers will be overwritten by the Postalsoft-generated mailer IDs and serial numbers when you perform presorting.

Adding fields to the layout

To add the fields to your layout:
1. Choose File > Properties > Database.
2. Click Multiple Fields.
3. Select the Intelligent Mail Mailer ID and Intelligent Mail Serial Number fields.

Exporting fields It is not necessary for the Intelligent Mail Mailer ID and Intelligent Mail Serial

Number fields to be in your layout in order for you to be able to export these fields.
To export the fields to a file:
1. Choose File > Export.
2. Choose your exporting options as you normally would. In the Group Export window, choose Presorted Records.
3. When you reach the Export Fields window, be sure that the IM_MAILRID (Intelligent Mail Mailer ID) and IM_SER_NUM (Intelligent Mail Serial Number) fields are mapped to an export field.
4. Complete the export process as you normally would. See your user’s guide for complete details.

Presorting changes

Move-update methods for Postage Statement

An additional move-update choice (OneCode ACS) is listed in the Move Update Method drop-down list in the Sort for Mailing - Mailing Information window.
Selecting a move-update method in the Sort for Mailing - Mailing Information window indicates only which method was used to perform move-updating. It does not perform move-updating for you.
The OneCode ACS option is for First Class and Standard Mail mailers that use the standardized Intelligent Mail barcode. Select OneCode ACS if you performed move-updating using OneCode ACS outside of Postalsoft. Postalsoft does not, at this time, perform OneCode ACS processing.
Postage Statements 3600 and 3602 reflect your choice of move update method.
In Mail.dat 09-1 and 08-2 files, the OneCode ACS option is represented with “1=ACS” in the Segment (.seg) file and Piece Detail Record (.pdr) file.

New MPC directory A new version of the MPC directory is available. Beginning with this release, you

must use the new mpc09.dir file; the software will no longer support the mpc08.dir file.
When you install this software update, the mpc09.dir file is installed automatically to your default directory location.
The mpc09.dir file does not contain the L005(m), L603, and L604 labeling lists.
The software uses the MPC directory to generate forms and labels for containers and pallets. It contains information about the service areas of SCFs, ADCs, BMCs, and other facilities.

First-Class and Standard Mail automation and machinable letters

The USPS is aligning standards for First-Class and Standard Mail automation and machinable letters. Machinable letters must meet the same requirements as automated letters with one exception: machinable letters don’t have to use qualifying barcodes. New options The following new options are available in First Class and Standard Mail
automation and machinable letters schemes:
The Make 3-Digit/Scheme Trays option prepares letters at the 3-digit/
scheme level. In automation letters schemes, you can use the Full and At Least options to specify if the trays must be full or contain a minimum number of pieces.
The Make AADC Trays option prepares letters at the AADC tray level. In
automation letters schemes, you can use the Full and At Least options to specify if the trays must be full or contain a minimum number of pieces.

The Make Machinable AADC Trays option in the STD Regular Letters
scheme prepares letters at the machinable AADC trays level.

New Containers Ready to Pay option

Select the new Containers Ready to Pay option in the IDEAlliance Mail.dat window to set the CSM file’s Container Status field to R (ready to pay). This indicates that the containers are ready to be paid for.
If you leave this option unselected, the Container Status field is left blank, indicating that the containers in the Mail.dat file are not closed or pending.

Reports

Intelligent Mail Serial Number History report

Now you can control the number of days and the specific mailer IDs included in the Intelligent Mail Serial Number History report.
To set the number of days and mailer IDs:
1. Choose Print > Reports.
2. Select the Intelligent Mail Serial Number History report.
3. Click the Options button.
4. In the Intelligent Mail History Report Options window, enter the number of
days that you want to include in the report.
5. If you want to include all mailer IDs in your report, select the Use All Mailer
ID(s) option. Or, if you want to limit the report to certain mailer IDs:
Deselect the Use All Mailer ID(s) option.
Select the desired mailer IDs in the Mailer ID(s) list and click Add to add
them to the Mailer ID(s) to Filter list.
To remove an ID from the filter list, select it and click Remove.
You can select more than one ID before you click Add or Remove.
6. Click OK.

Address Assignment Summary Information report

The Address Assignment Summary Information report has been redesigned and can now be printed from a text file outside Postalsoft. As always, you can print the report directly within Postalsoft as well.
The Address Assignment Summary Information report is created after address correction is performed. It summarizes address correction settings and results, and is not required by the USPS.
After you install 8.00c.01.00, you will not be able to open Address Assignment Summary Information reports that you created with previous versions. Re-run address correction to regenerate the report. Previously generated CASS reports will still be available.
Text file After you perform address correction, an Address Assignment Summary
Information report is generated and saved in a .sum file. The name of the file matches the name of your .mdf file (for example, mail.mdf and mail.sum). Likewise, the .sum file is stored in the same location as your .mdf file.
For best results, print with software that supports page breaks, such as Wordpad or Word. Before you print the .sum file, adjust your margins and font size as needed to fit the report correctly on the page. Half-inch margins should work for most software and most printers.
Redesign Redesign of this report includes the following changes:
Wording on the report now matches wording of options in the software. Information in the report is now more logically grouped. DPV and LACS

Extended Services

Address Line 1 and 2 When you send records for processing at Lorton Data through Extended Services,

your street address data will be populated as follows if your layout includes both address line fields:
The primary street address data will go into Address Line 2.
The secondary street address data (if any) will go into Address Line 1. Note
that for move-updated records, no secondary street address data is returned.
The USPS prefers primary street address data to appear in the line directly above the city, state, and ZIP Code line.

County code When you send records for processing at Lorton Data through Extended Services,

county code data will also be returned for your records. This county code data will be populated in the County Code from CD field if that field is present in your layout. Periodicals mailers need these county codes if attempting to claim in­county discounts.
