mono Scan already pays for itself for small processing quantities.
As one of HIMSA member companies smart optics has equipped all scanners with an interface to
Noah which allows to integrate the scanner software into your Noah client.

2. For your safety
2.1. Proper use
The correct use of the smart optics audiology scanners consists in the optical, threedimensional measurement of human auditory canal impressions.
Material characteristics
The audiology scanners scan materials with a dry, opaque surface. Reflecting or dark
surfaces can be scanned by treating with 3D scan spray.
Improper use
The audiology scanners are
of transparent material or living organisms.
The audiology scanners are not suited for operation in an environment which is
strongly contaminated with emissions (e.g. dust or varnishes).

2.2. General safety instructions
Qualification of the user
Users setting up, operating or commissioning a scanner from smart optics require
specific knowledge for the safe use of the scanner. You can obtain this knowledge via
the following measures:

Read and follow this operating manual, in particular the notes on setting up,
commissioning and cleaning the scanner.

If possible, take part in a training course (optional offer from the distributor).
3.
Observe the local laws, ordinances, regulations on occupational safety and accident
prevention relating to your scanner workplace.
4.
Ensure that devices and cables pass the prescribed regular safety tests for electrical
equipment. Replace damaged equipment and cables immediately. Observe the
appropriate technical dimensioning for mains cables.
Constructive protection measures
The scanner has been developed and manufactured in accordance with the applicable
safety standards and with the greatest possible care to ensure safe operation and to
protect the user against injuries. In particular, constructive measures include:

The scanner switches off the power supply to the interior of the scanner automatically
after brief inactivity or when the lid is opened. Power is only switched on again after
the user has restarted activity.
2.
A running scan process is interrupted automatically when the lid is opened. Moving
parts in the scanner's interior are stopped to prevent injuries when placing hands in the
scanner. Automatic power switch off prevents accidental restarting or continued
running of the motors.
3.
A fuse is integrated in the scanner to protect the device against overvoltage.

Risk of injury due to electrical shock
Health hazards due to magnetic fields
Protection against injuries
Despite protective design measures, some residual risks which can lead to injuries
cannot be excluded. In this section you can find out with which measures you can
protect yourself and others.
WARNING
Risk of fire due to short circuit
A technical fault of the cables or of an individual component of the scanner
could
cause an electric shock.
or cause a short circuit which could lead to a fire as consequence.
If the scanner is not used for a longer period, e.g. overnight, switch the
scanner off at the mains switch and disconnect the plug of the mains
socket.
Only operate the scanner at temperatures between 15°C and 30°C.
Higher temperatures may cause overheating of the scanner.
Ensure that the scanner and cables do not come into contact with
water/moisture. However, should this happen, immediately disconnect
the mains plug. Then dry the parts affected with a soft microfiber
cloth.
Under no circumstances work with faulty equipment or cables.
Use the supplied cables or appropriate spare parts exclusively for the
scanner.
The scanner and the accessories contain magnetic components. Magnetic
fields can be hazardous to health.
Persons with implants, in particular cardiac pacemakers, may only
operate the scanner and the accessories with the express permission of
a physician.

Fall hazard due to packaging materials
Risk of hand injuries by the lid or the mechanics of the scanner
Hand injuries due to sharp needles
CAUTION
The scanner is packaged extensively as protection against damage during
transport. Packaging can present an obstacle during setting up and lead to
a fall.
Do not leave packaging materials lying on the floor.
The lid or the mechanics of the scanner can crush your hands.
Always open the lid all the way.
Only open the lid during a scanning process if the software issues a
corresponding instruction or displays the end of a scanning process.
Only place your hands inside the scanner when the axes are not
moving. Should the axes not stop when the lid is open, switch off the
scanner and disconnect the mains plug.
The object holders for mounting the auditory canal impressions are fitted
with sharp needles. You can easily prick yourself with these needles.
Only hold the object holders from the side.
Do not press on the needles from above.

Damage to the camera lens by touching or contamination

Protection against material damage
Despite protective design measures, some residual risks which can lead to material
damages (loss of data or damage to equipment) cannot be excluded. In this section you
can find out with which measures you can prevent material damage.
NOTE
The camera lens in the interior of the scanner is highly sensitive.
Do not touch the lens with your fingers.
Do not clean the lens.
Do not leave the lid open unnecessarily.
Never use the 3D scan spray in the interior of the scanner.
Data transfer between the scanner and the PC is affected by the length of
the USB cable.
Only use the supplied USB cable or a spare part with the appropriate
length (maximum 2 meters).
The scanner is intended exclusively for use in dry, closed rooms. The
scanner will only achieve accurate measuring results under suitable climatic
conditions. Excessive heat causes measuring errors as well as overheating of
the scanner. Overheating can cause permanent damage to the scanner.
Only operate the scanner at temperatures between 15°C and 30°C.
Only operate the scanner at low humidity.
Avoid direct sunlight at the workstation.
Reduce cold, heat and high humidity, for example, by using air-
conditioning or sun protection.
NOTE
The base (table, workbench, etc.) on which the scanner stands must not
vibrate. Vibrations cause inaccurate measurements.

Place the scanner on a stable, firm base, which can support at least
twice the weight of the scanner, in other words 2 x 8 kg or 7.5 kg).

Material damage due to moisture
Data loss due to magnetic fields
Continuous contact with moisture can damage sensitive materials.
Only operate your scanner at a dry workstation.
Avoid contact with water/moisture.
However, should this happen, disconnect the mains plug.
Immediately wipe the water/moisture with a soft microfiber cloth.
The scanner and the accessories contain magnetic components. Metalcontaining technical devices and data carriers, for example, credit cards,
can be disrupted in their function or even damaged permanently through
contact with magnets.
Make sure to keep a sufficient distance between metal-containing
technical devices and data carriers to the scanner and accessories.

Response in case of a defect
You must not work with a defective system. Damage to the scanner, its accessories or
a faulty function have occurred with high probability if:
parts have been visibly damaged
axes do not rotate or do make loud noises
calibration fails
measuring errors occur despite correctly performing all work steps
the software displays an error message.
Follow the instruction in an error message.
Check the connections Section 5.3. If applicable, replace the slots.
Exit the software, switch off the scanner and the PC and restart the system.
Check whether the software is installed correctly Section 6.1.
Check the calibration data Section 6.2.
Follow the work instructions for device maintenance Section 13.
Update your system. Check whether all important Windows updates have been
installed.
Ensure that your computer is free of viruses and malware.
Permit the execution of the scanner software in your virus protection program.
If none of these measures solve the problem, repeat with another computer to
exclude a computer fault.
If the problem also occurs with the other computer, refer to your distributor

4.3. Object holder and accessories
The top side of the object holder is fitted with needles. Intended use: mounting the
auditory canal impressions.

5. Setting up of scanner and commissioning
5.1. Choosing location
Before unpacking and installing the scanner, carefully choose an appropriate location
for it.
Please take the weight and dimensions of the scanner into account when choosing the
location for installation Section 18.
Choose a stable work desk that is big enough to allow the scanner to be connected
to a PC.
Ensure that there are enough and sufficiently fused mains sockets for all the
devices. After consultation with an electrician, you can, for example, use an
approved extension cable, a multiple power socket and a socket adapter (additional
electrical devices not included in the scope of delivery).
Ensure as well that you can reach the power switch at any time.
5.2. Unpacking of scanner
The scanner is delivered in a sturdy outer carton.
Check the outer packaging for visible damage immediately on receipt of the
scanner.
If damage is evident on the packaging, please inform the delivery company and
your vendor (reseller or smart optics). Follow the instructions provided by the
delivery company and vendor (reseller or smart optics) before continuing to unpack
the device.

Risk of injury due to the sharp needles
Removal of the needle shield from the object holders
The object holders in the interior of the scanner are fitted with a needle shield for
protection during transport. Remove the needle shield before using the scanner.
CAUTION
Due to the nature of the design, the needles on the object holders are very
pointed and sharp.
Proceed with great care when removing the needle shield.
Only hold the needle shield from the side.
Pull the needle shield upwards from the object holders. Keep the needle shield safe for future use in case you
ever need to transport the scanner.

For commissioning of the scanner you will need a mains connection for power supply
and a PC connection. The scanner is designed as a peripheral device, so it cannot work
without a PC connection.
The mains connection and the USB port are located on the rear panel of the scanner

Connect the device plug of the mains cable to the corresponding mains socket on
the scanner.
Connect the mains plug of the mains cable to a mains outlet socket. It is not
necessary to use an adapter to adjust the voltage as a switching power supply is
integrated in the scanner.
Connect the type B plug of the USB cable to the USB port of the
scanner.
Connect the type A plug of the USB cable to a USB port of the PC.

6. Installation of the scanner software
You only need to install the scanner software if you purchased your scanner
. If you purchased your scanner together with a computer, the scanner software is

Installation workflow
The software installation consists of two stages: the actual program installation (setup
of the scanner software including the Point Grey camera software) and the loading of
calibration data when the software is run for the first time. You may also optionally
have to install missing Windows features.

6.1. Execute setup
Only install the scanner software on a computer which corresponds to the technical
requirements for operating system, memory and graphics card Section 18.
Insert the installation CD into the CD drive of the computer.
The content of the installation CD is displayed after a brief waiting period.
If the content of the installation CD is not displayed automatically, open the CD
drive in Windows Explorer and then the installation folder.
Double-click the executable file ending in "exe".
The setup then pops up a dialog that allows you to choose the installation
language. The suggested language is the one selected in the operating system.

To choose a different language, simply select it from the dropdown list. The
following are available: German, English, French, Italian, Romanian, Spanish,
Portuguese, Turkish, Greek, Russian, Chinese (traditional and simplified).
TIP
The language in which the software controls are displayed can be changed
in the software settings after installation of the software Page 69.
Click OK. Please note that you cannot revert back to the choice of language during
setup.
The setup will ask you to choose a destination folder for the installation.
Accept the suggested destination folder or click on Browse to choose another
folder. If you use a Noah system by the Hearing Instrument Manufacturers'
Software Association (HIMSA), you must accept the suggested destination folder so
that the interface works.
Click Next.
The setup will ask you to select a Start menu folder.

Accept the suggested Start menu folder.
If this is not possible, you can change the name or click Browse and select a
different folder.
Click Next.
The setup will ask you whether or not you want to create a desktop shortcut for
launching the software.
Activate the checkbox Create desktop icon to add the shortcut icon for launching
the scanner software to your desktop.
Click Next.

The Ready to install window pops up. All of the settings you have chosen in the
prior steps are displayed.
Check the settings (destination folder, start menu folder and desktop shortcut
icon). If you would like to change any of the chosen settings click Back.
To start the installation with the displayed settings click Install.
The installation process starts and the progress is displayed on the screen.
The final window for finishing the setup is displayed. You will be asked to decide
whether the computer is to be restarted immediately or later. smart optics
recommends activating the option for a restart.

The setup is completed. If applicable, the computer will restart. A new icon is now
available on the desktop and the Start menu contains a new software icon.

6.2. Load calibration data
Launch the scanner software by double-clicking the desktop icon
or by selecting the Start menu entry (picture as example here).
When first starting the program, a message is displayed telling you that the
calibration data is missing from the program installation folder.
Click OK.
The data is then automatically loaded into the software.
If the system cannot find the calibration data automatically, you can also select the
folder manually:
Click Browse.
The Windows dialog Browse for folder opens.

Malfunction due to incorrect calibration data
NOTE
The calibration data are saved individually for each scanner on the
installation CD. Only with this calibration data the software works optimally
with your scanner.
Check whether the name of the calibration folder on the CD
corresponds to the serial number of the 3D sensor on the type plate or
SO label.
If the numbers do not correspond, you may not use the calibration
data. In this case, cancel the process.
Please contact your vendor (reseller or smart optics) to obtain the
appropriate calibration data for your scanner.
Click OK.
In the window for loading the calibration data click Next.
The calibration data is copied. A final message is displayed after that.
Click OK.
The installation and calibration are now complete. The software closes
automatically.
Make sure that the scanner is switched on. The mains switch lights up in this case
or is in position I. If your scanner has a status bar, it will light up green.
Start the software.
The scanner is operational.

7. Positioning of the auditory canal impression
The object holders in the interior of the scanner are used for accurate positioning of an
auditory canal impression. The object holders are mounted magnetically on the base.
Other mounting materials are not required.
duo Scan and ds Production have two object holders each, mono Scan has
one.
CAUTION
If the lid is open, it can fall down and, for example, injure your hand.
Only open the lid if it is necessary to reach into the scanner, and
afterwards close the lid again immediately.
Leave the lid closed while the device is working. If you open the lid
while a scan is running the process will be aborted. To continue, you
will be asked to close the lid.
CAUTION
Due to the nature of the design, the needles on the object holders are very
pointed and sharp.
Always proceed with great care when handling the object holders.
Never touch the needles from above.

Removing and inserting object holders
You can remove the object holder from the scanner, for example, for cleaning the
interior of the scanner Section 13.2. To position the auditory canal impressions it is
usually not necessary to remove the object holders, unless you want to matt the
auditory canal impressions with 3D scan spray. In this case, remove the object holders
beforehand under all circumstances.
NOTE
If you use 3D scan spray in the interior of the scanner, the spray mist will
contaminate the lens so that precise measurements are no longer possible.
Only use the 3D scan spray outside the scanner.
Close the lid before spraying to keep the scanner clean.
Removal
Open the lid to the stop. Hold the object holder from both sides. Pull the object holder upwards with slight force.
The magnet is released from the base.
Insertion
During insertion, use the auxiliary markings for
orientation, e.g. the engraved horizontal line on the
swivel axis in the scanner interior and the two
notches on the outer of the object holders.
Place the object holder straight and from the top
onto the base, so that both notches are parallel to
the line of the swivel axis.

8.3. The 3D viewer
The 3D viewer is the central working surface of the scan software. In the 3D viewer
you can view the scanned object from all sides, move it and change the size of the
display (zoom in or out). You can use the mouse to do this. The toolbar on the right
side of the 3D viewer contains functions that can be used to accurately control the
display.
The display area is split in the middle so that you can see the left and right-hand sides
at the same time. You can move, zoom and edit the objects independently of each
other.

In the case of the mono Scan, you will be asked to insert the named
sides one after another, first the left, then the right side.

Saving a scan file
If you are satisfied with the result of the measurement, click the "Finish
work" icon.
Unless already done, the data are matched, e.g. all individual measurements
recorded by the 3D sensor are compiled.
The data are saved in STL format under the stated name in the destination folder
(by default

When saving the data, these are thinned out, e.g. the content is reduced to the
actually required information which makes the file smaller. The largest possible
reduction stage is applied by default. If you want to have less thinning out, you can

The 3D view is closed and you can start with a new measurement immediately.

If you require data in another format, activate the desired export format in
the settingsPage 62. You can also export the scans in all three formats

If you do not require the scanner software for a longer period, you can set the
software to the standby mode instead of closing it. Select the menu item Options |
Standby mode.
The software changes to the standby mode and minimizes into the task bar. The
power supply to the scanner is switched off so that the scanner is in standby mode.
Open the group of "hidden symbols" in the Windows task bar
click on the icon for the scanner software.
Double-click the desktop icon, which you usually use to start the software.
The standby mode is automatically activated if you start the scanner software from
Noah, the system by the Hearing Instrument Manufacturers' Software Association
(HIMSA).
9.1. Canceling a scan
You can cancel a scan prematurely without waiting for the result of the measurement,
e.g. if you notice that one of the auditory canal impressions is not correctly positioned
on the object holder.
Click on the "Cancel" icon.
The software will ask you how you want to cancel the scan.
Check the required option.

9.2. Correcting the scan result
"Holes" occur in a scan when the 3D sensor could not capture areas of the scan
object. For example, this is the case in so-called “undercut areas” (narrow passages).
Light reflections on the surface may also be a reason. You should always remove holes,
in particular when processing the data further in a CAD system.
To fill the holes in the areas not captured, the 3D viewer offers two corrective
functions.
TIP
If you are still not satisfied with the result after correction, check the
positioning of the auditory canal impressions in the scanner and the
settings for the cutting filters Page 61.
Repeating the scan
If you are not satisfied with the overall measured result, you can repeat this process.

Rescanning of individual areas that have not been captured
The rescanning function individually measures the areas not captured and thus achieves
highly accurate results. The additional measurements must then be consolidated with
the first measurement ("matched").
This function is only available for duo Scan and ds Production, not for
mono Scan.
In the upper area of the 3D viewer click the icon "Start rescan
mode".
The rescan mode is activated. The coordinates X, Y and Z appear next to the scan objects.
Click on the side of the 3D viewer which is to be rescanned.
A green cross hairs appears on the marked scan object, a white
one on the other.
Position the cross hairs on the scan object by rotating the 3D
image with the left mouse button, moving it with the right mouse
button or zooming with the scroll wheel.

and cannot be restored.

10. External data transfer via the module "FTP upload"
With the module "FTP upload" you can automatically upload your STL files from the
scanner software to an FTP server. For this you will need to save the connection data
only once in the settings.
The "FTP upload“ module is a chargeable module. It only becomes available
in the scanner software when you have added the activation code in the
software. You can receive the activation code from your vendor (reseller or
smart optics) after you make the purchase.
10.1. Authorization of the module with an activation code
To have the additional software functions authorized, the following work steps need to
be executed once-off after purchasing the module.
Select the menu item Options | Add activation code.
A dialog for entering the code opens.
Enter your activation code.
Click OK.
The validity of the code is checked and confirmed. You will be asked to restart the
software.
Click OK.
Close your work and restart the software.
You can now use the functions of the "FTP upload" module.

10.2. FTP upload settings
First, save the connection data for the FTP upload in the settings. In addition, you can
also control how often the dialog for uploading the data is opened.
Select the menu item Options.
Click the tab FTP Upload.
The tab opens.
Activate the checkbox Display FTP upload dialog after measurement. By this
the upload dialog is displayed after every measurement, i.e. after completion of a
scan. If the checkbox is not activated, this dialog is only opened once when the
working session is closed. This second variant is not recommended.
In the Connection field enter a name for the new FTP connection.
Press ENTER.
The Password dialog opens.
Enter the default password "smartoptics".
To change the default password click on Change FTP password.
In the dialog for changing the password, enter the old password once and the
new password twice.
Click OK.
The password for editing the FTP connection has been changed.
Go to the Password dialog and click OK.

The previously assigned name is displayed for information purposes in the ID field. The
ID can no longer be changed.
In the Server field, overwrite the sample value 127.0.0.1 with the IP address or the
domain of the FTP server.
In the Path field enter the complete path name on the FTP server. Ensure that the
target directory exists.
In the User field enter the user name you use to log into the FTP server. The
anonymous placeholder is given by default.
In the Password field enter the server password for your user name.
The Port field is set by default to 21. If you need to connect to the server via a
different port, choose the number from the list.
Click OK.
The connection data is checked and saved.
If the data is invalid, you will be prompted to correct your entries.
If necessary repeat the steps to add further FTP connections.
Changing FTP connection data
You can change the settings if there are problems during data uploads or if the
connection data of an FTP server change.
Select the menu item Options.
Click the tab FTP Upload.
The tab opens.
Select the FTP connection you would like to change from the Connection
dropdown list.

Check the data. In the field Remote file, the ZIP file to be transmitted is displayed.
This ZIP file contains the files of the last measurement. It is named after the
contained STL files and the current date.
If the connection ID is not to be transmitted, deactivate the checkbox Prepend
connection ID.
If you have added several connections, choose the required FTP connection under
Connection.
The File list field shows the individual files that are to be transmitted, in other words,
the STL files of the last scan:
To add optional files (e.g. images or PDF files), click Add file(s) and select the
required files from the folder structure.
To remove files select them in the list and click Remove file(s).
Click Start upload.
The listed data is uploaded to the FTP server. This can take a moment depending on
the volume of the file list. You will receive a message when the upload is

13. Device maintenance
The scanner is a sensitive optical device. To ensure trouble-free operation of the
scanner, it is necessary to regularly follow the correct care measures.
Further maintenance measures by the user are not required.
13.1. Calibrate axes
With the aid of the software you can calibrate the axes of the scanner. Perform the
following steps for the initial installation and every time the scanner is transported or at
least once a month to ensure that the axes are perfectly aligned.
NOTE
If calibration remains unsuccessful although you have performed all the
described measures, the scanner will be unable to perform correct
measurements.
Only scan for test purposes. Do not use real data.
Please contact your vendor (reseller or smart optics) to find the cause of
the problem.
Select the menu item Scanner | Service | Axis calibration.
The software will ask you to place two auditory canal impressions in the scanner.
Follow this instruction Section 7. The axes cannot be calibrated without
impressions (one impression for mono Scan).

If you discover any contamination on the optics, please contact your
vendor (reseller or smart optics).
NOTE
Paper towels, coarse cotton cloths and the like, leave scratches on the
sensitive surfaces.
Only use the recommended materials for cleaning.
Switch off the scanner.
For safety reasons unplug the cable connections from the scanner.

Loss of personal settings due to update
Set a vacuum cleaner to its lowest level and put on a crevice tool.
With the aid of the vacuum cleaner, carefully remove dust and foreign bodies that
have accumulated in the base area of the scanner.
Wipe down the scanner from the outside using a damp microfiber cloth.
14. Installing software updates
Updates contain improvements and corrections to your software version. The scanner
software is programmed by default so that updates may be installed free of charge for
a period of 12 months from the authorization date. It is possible to continue using the
scanner software provided with your scanner for an unlimited period without the
installation of software updates.

TIP
Your vendor (reseller or smart optics) would be pleased to inform you about
available updates.
To prepare an individual quote for you, the serial numbers of the scanner
and the 3D sensor will be required. You will find these numbers on the back
of the scanner Section 4.3
NOTE
Your personal settings will be lost when installing an update. The settings
will also be lost if you delete the following folder:
C:\Program Files (x86)\3D-
Scanner\[Scanner-Name]\data.
Write down your personal settings before installing the update. For
example, save screen shots of all tabs in the Settings dialog.
Proceed as follows as standard after receiving an update from your vendor (reseller or
smart optics):
Download the update file or store it locally on the computer on which the scanner
software is installed.

you wish to perform an uninstallation, use the integrated uninstallation tool.

The software is uninstalled. The folder with the calibration data and a
LOG file are preserved and will be available again after a new
installation.

Renewal of activation code
You can continue to use the scanner software for an unlimited period without the
installation of chargeable software updates. If you wish to install an update after 12
months, you require an activation code which is available from your vendor (reseller or
smart optics).
TIP
Please note that the provision of an activation code may possibly be
available on the following work day because every code is generated
individually by the manufacturer for a specific scanner.
Install the update as described.
Switch on the scanner.
Start the scanner software.
You will receive the following message:
Enter the activation code provided by your vendor (reseller or smart optics) in the
Activation Code field. The dongle characteristic already exists and needs not be
entered again for an update.
Click OK.
The activation code is saved and the software starts.
Proceed as described for every chargeable update.

15. The Noah Interface
If you are using a Noah system from the Hearing Instrument Manufacturers' Software
Association (HIMSA) you can integrate your scanner into Noah. This way, you have the
opportunity to start scanning directly from the Noah Patient Browser. Your scan results
will thus be assigned to the patient in Noah and available with other actions.
15.1. Noah Interface Setup
Below are described the setup steps which can be followed by the users themselves at
their workplace. However, depending on how the Noah system is configured at your
company, additional setup steps, which can only be undertaken by your administrator
or a user with administrative privileges, may be required.

If necessary, you can request setup instructions for various Noah server and

In the Sessions section (in the mixed view at top right), a dated entry is displayed.
To view a scan (left or right side), click on the desired row.

If you click on an entry with the right mouse button, a context menu opens
in which, among other items, the feature Delete Action is included. If you
execute this function, only the entry in the Sessions section will be deleted,
but not the file itself.

17. Environmentally friendly disposal
The information in this section refers to EU directives and German law.
In non-European countries you must follow the corresponding national legislation for
the disposal of packaging and electronic scrap.
You can prevent negative consequences for people and avoid harming the
environment by the proper disposal of the device.
17.1. Disposal of packaging
In accordance with the packaging ordinance (VerpackV), you can return the packaging
to your vendor for disposal in Germany. However, smart optics recommends that you
keep the packaging in case you need it to transport the scanner or to send it back in
the event of warranty claims.
17.2. Disposal of the device
The devices marked with this symbol are subject to European Directive
2002/96/EC for WEEE (Waste Electrical and Electronic Equipment).
