Directories now updated monthly

Supported Operating Systems

Starting with April directories, your directory updates will be available monthly. In the past, you may have chosen to receive your directories monthly or bimonthly.
Run Presort on one of our supported operating systems. Presort does not run on unsupported operating systems, such as Windows 98, NT, and ME.

Vista users If you are a Vista user and want to run the Presort online help, you must download
and install the WinHlp32.exe file from Microsoft. This executable is not installed with the Presort application. For download and installation instructions, go to

SAP BusinessObjects Postal File Preparation

Did you know that SAP BusinessObjects offers a Mail.dat tool? SAP BusinessObjects Postal File Preparation is an affordable solution that
supports the ability to claim full-service rates. The software has also passed the USPS label certification process for Intelligent Mail tray labels.
For more information, see “Mail.dat 09-1” on page 27.

Presort RAPID users Presort RAPID 8.00c is compatible only with other current RAPID products. If

you own more than one RAPID product, upgrade all products to the current version at the same time. Installing all products at once ensures compatibility across all products and prevents the possibility of data corruption.

Contacting Technical Customer Assurance

You can contact Technical Customer Assurance for help with your SAP BusinessObjects product through the SAP Service Market Place (SMP).
1. Go to SAP Service Market Place (http://service.sap.com
).
2. Click SAP Support Portal.
3. Enter your S-User ID and password, and then click OK.
4. When prompted for a digital certificate, click OK.
5. Enter your S-User ID and password again, and then click OK.
Optional: Setting up your Single Sign-on allows the site to remember your login and not prompt for it so frequently. To do this, click My Profile at the top of the page. Then click Maintain My Single Sign-on Certificate on the left of the page and follow the instructions.
Report a product error 6. In the SAP Support Portal, click the Help & Support tab.
7. Click Report a Product Error. The Report a Product Error - Customer
Messages window appears.
8. Using the SAP Message Wizard, you can log your message in four steps.
Steps Instructions
Step 1: Choose System Select the SAP BusinessObjects system that your
issue relates to.
Step 2: Prepare Solution Search Create a description of your issue that you can
search on.
Step 3: Find Solution Search to see whether your issue has been
addressed already.
Step 4: Enter Message If you don’t find your issue already addressed,
enter your message to create a new error report.

and select your system.
10. Click Search.
11. Click the BOB link next to your system.
Prepare your solution search
Before you create a new customer message, search for Notes (Knowledge Base articles) about your issue. If your issue has already been ad dressed, you should not need to create another message for Customer Assurance.
12. In the Search Term area, type your question, and then click Continue.
13. Read through the search results to see whether any of them addresses your question.

Enter your message 14. If you do not see any Notes about your question, click Create Message.
15. In the Component box, choose the product that you want to create a message
for. You do so by clicking the icon next to the Component window to see a drop-down list. (By choosing the correct component, you ensure that your message is logged for the appropriate Customer Assurance team.)
16. To see a more detailed list, click the arrow by BOJ- SAP Business Objects and then click the arrow by BOJ-EIM. The names of your products are listed next to each component.

In the Problem Details area, required fields are flagged with a red asterisk.
17. In the Short Text box, enter a brief description of the question or issue.
18. In the Long Text box, enter further detail about what you are seeing or questioning.
19. If needed, attach files to your incident report (be sure to zip your files).
20. When you have finished, you can either send the message or save it.
If you save the message, the message is not sent to Customer Assurance.
Instead, it remains in the Draft section of your “My Inbox,” from which you can send it later.
To send your incident report, click Send Message. You can see the
messages you have sent by clicking My Inbox and viewing your sent items. When your question has been answered or your problem solved, open the message and click Close Message to keep your message inbox manageable.

Release notes and other documentation are available only in electronic format (PDF and help files). You can access product documentation in several places:
On your computer. Release notes, manuals, and other documents for each
product that you have installed are available in the Documentation folder. Choose Start > Programs > Business Objects Applications > Documentation.
On the internet. Go to http://help.sap.com and click SAP BusinessObjects at
the top of the page. Then click All products in the left column and choose Postalsoft from the drop-down menu. You can view the PDFs online or save them to your computer for viewing or printing.

Intelligent Mail (IM) barcode updates

Starting in May 2009, you can use IM barcode basic-service and full-service options. Using the full-service option results in automated address correction notices for letters and flats, as well as start-the-clock information.
Presort supports IM barcode solutions for First-Class, Standard Ma il, Periodicals, and Package Services Bound Printed Matter letters and flats.
On 30 November 2009, the USPS will offer a discount on full-service rates. For more information, see http://pe.usps.com/PriceChange_May2009/PDF/
PriceList/PriceList.pdf.
For those processing flats with basic-service or full-service barcodes: We recommend that you print the optional endorsement line (OEL) on every flat mail piece. Because the software doesn't know whether you inten d to print the optional endorsement line on your pieces, it automatically returns a barcode ID code for every piece. For those pieces on which you don't want to print the endorsement line, you need to change the barcode ID to “00”.
Barcode types Description
Basic-service With the basic-service option, the USPS requires you to use Intelligent Mail barcodes on your letter
and flat mail pieces in place of POSTNET barcodes. The USPS also requires the following information:
CASS certified delivery point information that is included in the current POSTNET barcode.
A USPS assigned Mailer ID, the class of mail indicated in a Service Type ID field, and the optional endorsement line (OEL) information in the Barcode ID field if an OEL is printed on a flat-sized mailpiece.
A serial number containing numbers that you choose. You do not have to use a unique serial number on your basic-service mail pieces.
Full-service With the full-service option, the USPS requires you to include the following information:
Use unique barcodes on letters and flats.
Use unique serial numbers (Mailer ID plus sequence number) on letters and flats. The serial numbers do not have to be unique if a mailing has less than 10,000 copies.
A USPS assigned Mailer ID, the class of mail indicated in a Service Type ID field, and the optional endorsement line (OEL) information in the Barcode ID field if an OEL is printed on a flat-sized mailpiece.
Use Intelligent Mail tray labels that have unique barcodes, on trays and sacks.
Attach Intelligent Mail container placards, containing unique barcodes, on the outside of pallets.
Note:
The implementation date for placement of pallet placards has been moved from May
2009 to November 2009.
Generate electronic postage statements and documentation, when required.
Other The Other option indicates to the USPS that you are using POSTNET or GS1-128 (formerly UCC
EAN Code 128) barcodes on your mail pieces. The USPS will accept POSTNET barcodes on your mail pieces until May 2011.

Intelligent Mail block A new block was added, and some parameters rearranged, to make it easier for

you to set up IM barcodes. The Intelligent Mail block is new to version 8.00c. This block must be present if you have the IMB Intelligent Mail Barcode parameter in the Execution block set to Yes.
The following IM barcode parameters, that were in the General Output block, were moved to the Intelligent M ail block:

Mixing different types of barcoded mail

You can mix POSTNET, basic-service, and full-service barcoded mail pieces together in the same mailing. To do this, you must follow the rules for full-service mailings, with the exception that you do not need to include a unique IM barcode on the basic-service mail pieces.
To mix barcode types within the same job, do the following:
1. Set up a Version Description block for each version in your job.
2. Set the parameter Automation Barcode Type in the Version Description or
Version Defaults block. The following options are available for this parameter:
Option Description
Full Indicates that the mail pieces in the version have full-service barcodes
on them.
Basic Indicates that the mail pieces in the version have basic-service bar-
codes on them.
Other Indicates that the mail pieces in the version have POSTNET or GS1-
128 barcodes on them.
3. Proceed with setting other applicable IM barcode parameters.

Converting service types

Automation vs. non­automation mail pieces
Periodicals non-subscriber copies
Use the software to convert service type identifiers.
Full-service and basic-service automation priced mail requires a different service type identifier than non-automation priced mail.
To automatically convert full-service and basic-service type identifiers into non­automation service type identifiers, set the Convert Service Type for Non-Auto parameter in the Intelligent Mail scheme block to Yes. This conversion includes service types that are read in from input files.
Note: The software converts only non-automation (regular) rate and Standard Mail Saturation ECR flat rate mail pieces.
T o convert the service type identifiers for your Periodical s non-subscriber copie s, enter a service type (for example, 704) into the PER IMB Nonsub Service Type parameter in the Version Descript ion or Version Defaults block.
If a mail piece is both non-automation and non-subscrib er, the software assigns the mail piece a non-automation service type.
The software does not convert the service types for non-subscriber copies if you leave the PER IMB Nonsub Service Type parameter blank in the Version Description or Version Defaults block.
Note: The soft ware does not convert servi ce types that are read in from inpu t files.

Assigning serial numbers

Zero The software assigns a serial number that contains all zeros to every non-
automation piece in your mailing.
Static The software assigns the same non-zero serial number to every non-auto-
mation piece in your mailing. The software assigns a number that is within the range you set in the Version Description block.
Mailings with fewer than 10,000 copies
The USPS does not require you to use unique serial numbers on basic-service or full-service mailings that contain fewer than 10,000 copies.
To dictate how you want the software to assign serial numbers, use the IMB Increment Serial Number parameter in the Version Description or Version Defaults block. This parameter does not apply to Periodicals.
The following tables lists the options for this parameter:

A note for users with Periodicals firming jobs. Presort does not warn you

when your Periodicals firming jobs reach 10,000 pieces. According to the DMM 22.4.3, “For mailings of fewer than 10,00 0 pi ece s,
and postage is affixed to each piece at the correct price or each piece is of identical weight and the mailpieces are separated by price, the serial number field of each Intelligent Mail barcode can be populated with a mailing serial number that is unique to the mailing bu t common to all pieces in the mailing. This unique mailing serial number must not be reused for a peri od of 45 days from the date of mailing. These mailings are not required to submit electronic documentation for full-service, only an electronic postage statement. Unique mailing serial numbers must be populated in the Postal Wizard entry screen field or in the Mail.XML messages. Mailers must populate the serial number field of all Intelligent Mai l tray or sack labels , and Intelligent Mail container barcodes (when mailings are containerized) with the unique mailing serial number.”

Working with input files

Using input files can give you more control over the content of your Piece barcodes.
Verifying the uniqueness of mailer IDs and serial numbers that are read from an input file
Automatically creating versions in auto­dimension jobs
Retrieving field values from the job-file block when an input field is empty
To verify the uniqueness of the mailer ID and serial number on each piece that is read from an input file, set the Verify Input Serial Nums Unique parameter in the Intelligent Mail block to Yes.
If the software detects a duplicate, it issues an error. The error includes the record number, the mailer ID, and the serial number of the duplicate.
Note: Performing this verification adds processing time when reading input files. The larger the input file, the longer the verification takes.
For auto-dimension jobs, the software automatically creates a new version when the following criteria are met:
The IMB Intelligent Mail Barcode parameter set to Yes in the Execution
block.
Input fields PW.IMB_MID, PW.SR VC_TYPE, or PW.BAR_TYPE (new) are
in the input file. The PW.BAR_TYPE field defines your automation barcode type (Other, Full, or Basic).
Usually , the i nformation you se t in the PW fie lds overrides a nything you set up in the job-file. The software allows some exceptions so that you can use a single “house-format” DEF file when processing files for multiple customers.
If the PW.SRVC_TYPE, PW.IMB_MID or PW.IMB_SERIAL input fields in your input file are empty, the software uses the corresponding Version Description block parameter value in its place.

First-Class palletization

You can now place First-Class mail letters or flat trays on pallets. Under DMM
705.8.10.1, you can create these pallets even when you don’t have a local
Customer/Supplier Agreement (CSA).

Preparation rules According to DMM 705.8.10.1, pallets that contain First-Class mail letters or flat

trays must have the following:
Mail type Minimum height Maximum height
Letter trays 72 linear feet (six full layers) 77 inches of letter trays or
12 tiers (whichever is less)
Flat trays 24 linear feet (three full layers) 77 inches
The following sortation levels are eligible for pallet ization if th e ZIP Code on the mail piece falls within the L201 labeling list area for the origin entry point:

Parcel Post The USPS made the following changes:

Intra-BMC and Inter-BMC prices were merged. There is now a single price
for each weight level in each zone. In addition, the local zone and zones 1 and 2 were combined.
The nonmachinable surcharge was eliminated. However, a surcharge still
exists for mail pieces with a length and girth that equals more than 84 inches, but less than 108 inches.
Pieces weighing less than 20 pounds must pay the 20 pound price with a
length and girth that equals more than 108 inches. Pieces that equal more than 130 inches qualify for a separate price for oversized mail pieces.
Because of the merge, the following parameters were removed from the PSVC, Parcel Post Pallet and PSVC, Parcel Post scheme blocks:

The USPS is aligning standards for First-Class and Standard Ma il automation and machinable letters. Machinable letters must now satisfy all the conditions for an automated letter, but they don’t have to use qualifying barcodes.

Change in minimum thickness

The USPS changed the minimum thickness for machinable letters to a uniform thickness of 0.009 inches, replacing the 0.007 inch minimum. This change also affects Periodicals letters, but not First-Class cards.

Creating underfilled local 3-digit containers

Use the Create Origin/Entry 3DG/S Trays parameter to tell the software whether it should make 3-digit underfilled containers.
The 3-digit origin tray sortation level is required for First-Class machinable letters and cards. Also, in First-Class schemes, the parameter op tio n you use applies to only the automation letter portion of the mailing.
Related parameters If you are creating pallets that you plan to drop-ship, use the Create Undrfill
Local 3DG/SCF Ctns parameter in the Entry Point Description and Entry Point Defaults blocks to turn off origin trays at a specific sortation level.
In this release, you don’t have to use the Override Req Origin Loca l Ctns parameter in the Optional Procedures block and the Create Undrfill Local 3DG/ SCF Ctns parameter in the Entry Point Description and Entry Point Defaults blocks together when you prepare the following schemes:

Standard Mail machinable and irregular parcels and Not Flat­Machinable pieces (NFMs)
The USPS made pricing and sortation changes for Standard Mail machinable and irregular parcels and Not Flat-Machinable pieces (NFMs) prepared in sacks and on pallets.
Note: When it comes to Standard Mail parcels and NFMs, entry points determine what type of containers you can make. Because of this, you need to define all the entry points to which you plan to drop ship when initially setting up your job as Mail.dat will not be able to do this.

NFMs are aligning with irregular parcels

The USPS is aligning rules for NFMs and irregular parcels. In turn, these rules are being more closely aligned with machinable preparation. A new SCF level was also added to machinable preparation.
For both irregular parcels and NFMs, the sortation levels are changing. Sortation starts at the 5-digit/SCF level and ends with BMC/origin-BMC/mixed-BMC levels, instead of ending with ADC/Mixed ADC leve ls.

3-digit prices replaced with SCF prices

The USPS replaced the 3-digit pricing for irregular parcels and NFMs with an SCF price. Similar to the 5-digit price, the SCF price is available only when you enter SCF-sorted parcels at a DSCF facility.

BMC sortation levels STD mail parcels (machinable and irregular) and NFMs gain a new origin BMC

level that has no minimum.The origin BMC level accounts for mail that is destined within the same BMC area as the origin facility. Mail pieces that are in origin-BMC containers receives mixed-BMC rates.
The USPS also replaced the ADC and MADC price levels with BMC and Mixed BMC levels for irregular parcels and NFMs less than 6 ounces. For BMC-sorted parcels entered at origin, at least 200 pounds must be palletized to qualify for the price.

Warning about rigid flats

Viewing entry point information in Views

Rigid flats are generally not considered automation compatible. However, if the USPS tests your rigid flats and finds them to be compatible with USPS auto processing, you must print “Automation Flat” directly under the postage imprint on your mail piece. Presort does not provide an output field to post this text, so it is up to you to do this.
A column was added to the Facilities window in Presort Views to show you if an entry point accepts palletized mail or not.
The column can display the following values:
