The 5402 Telephone
Overview of the 5402
This guide covers the use of the Avaya 5402 telephone, running in Key and Lamp
mode, on Avaya IP Office telephone systems operating with IP Office Software release
3.0. The diagram below shows the main 5402 telephone features.
1. Display and Call Appearance Keys: Two Call Appearance Keys allow the user to
handle multiple calls and the display shows call information. Details on system
features (allocated by your System Administrator) can also be displayed. See Call
Appearance Keys on page 6 and Feature Key on page 10.
2. Message lamp - Lit when the user has voicemail messages. Can also be set to
flash when the phone is ringing.

Speaker: Accesses the Speaker feature. The associated LED lights steadily
when the Speaker is active. The Speaker feature only provides a monitor function
and is not a Speakerphone, e.g. the 5402 does not have a handsfree speech
function, you can hear a call through the Speaker but you must lift the handset to
speak.

Call Appearance Keys
The main call handling screen contains two buttons set as 'Call Appearance' keys.
For details of Bridged, Line and Call Coverage Appearance Keys set-up and their
operation, refer the IP Office Key and Lamp Operation manual.
CAUTIONS:
1. Having two Call Appearance keys is very useful. When holding a call you can
answer/make another call and then switch between calls or transfer or conference.
If you are set to receive call waiting indication, the waiting call is shown against the
next call appearance key.
2. Although your System Administrator can replace the Call Appearance Keys
/ with:
• A Bridged Appearance
• A Line Appearance
• Call Coverage Appearance
• System Features
This would severely restrict the use of features such as conference and transfer.
It is for these reasons that it is strongly recommended that
all Call Appearance keys remain at their default settings.
3. Early models of the 5402 telephone will not, on IP Office R3.0 with Call
Appearance keys, respond with the full and correct displays in all cases. Consult
your System Administrator for details.
Call Appearance Key Icons
The icons displayed against the Call Appearance Keys allow you to determine the
status (for example, on Hold) of each call. Icons also indicate whether a feature has
been activated for a particular button.
• Incoming Call:

Answering a Call
When a call arrives at your 5402 telephone, you hear a ringing tone and a flashing bell

To answer an incoming call:

If a headset is to be used on your 5402, it must replace the handset. E.g. unplug the
handset (from the socket on the side of the 5402) and replace with the headset cable.

Transfer
The Transfer feature allows you to transfer a call from your telephone to another
extension or outside number.
To transfer the current call to another extension:
1. With a call in progress, press Transfer.
2. When you hear dial tone, dial the number to which the call is to be transferred.
3. Do one of the following:
• To transfer the call without announcing it, either hang up or press
again. The transfer is complete.
• To announce the call before transferring it, wait for the called party to answer.
If the called party is willing to accept the call, press

Overview of the Feature Key
The Feature key provides access to system features that can be allocated to your
dial pad digits by the System Administrator. For instance, AD (Abbreviated Dial) can be
allocated to dial pad digit 1. Hence, when the
digit 1, then the call is automatically made to the frequently used number set against
the feature.
Consult your System Administrator for a list of the system features allocated to your
dial pad digits.
System Features Available
This section lists the system features that only the System Administrator can
allocate to the twelve dial pad digits of your 5402. For System Features that you can
always access by using short codes, see System Features on page 31.
Please note the following:
• The following system features can only be allocated to the twelve dial pad digits
of your 5402 by your System Administrator.

would use is given for reference only. These command paths do not apply to your
telephone.
• Throughout, where system features are not applicable to or supported on 5402
telephones, the statement “This function is currently not supported on the 5402 telephone” is made.
CAUTION: Early models of the 5402 telephone will not, on IP Office R3.0 with Call
Appearance keys, respond with the full and correct displays in all cases.

Dial
Automatically dials a pre-set number (internal or external).
This function requires entry of the number to dial when programmed.

Set the users current absence message setting.

AD - Abbreviated Dial
This function requires entry of a number to dial when programmed. When feature is
activated and the call is made, this number appears against the call appearance key.
The number does not have to be a complete number, the user can dial additional digits
after pressing
